Job Title: Accounts Payable Associate
Reports To: Senior Director of Finance, Construction & Development
Department: High-rise Constuction
Position Summary
The Accounts Payable Associate is responsible for processing accounts payable and payments efficiently, consistent with our company processes and controls, and with great attention to detail. The position will also have general administrative responsibilities to support the construction management team.
Responsibilities:
- Read and review sub-contracts agreements to understand the terms and payment process;
- Collect, review, seek approval and process of all payables relating to assigned project(s);
- Process all invoices and cheque requisitions;
- 2-way matching to ensure all data on the Purchase Order and Invoice align;
- Coding, entering and scanning payables into the accounting system;
- Entering budgets, contracts and change orders into the accounting system;
- Compare and report any discrepancies between invoices and commitments;
- Preparing cheque packages, match to backup and preparing same for signatures;
- Reconcile vendor accounts periodically,
- Assist with Vendor Setups – training as a backup in this role;
- Assist construction managers and site personnel with various general administration needs;
- Respond to all vendor queries in a timely and positive manner;
- Responsible for filing, archiving and retrieving all paid files;
- Assist with general accounting matters;
- Assist with monthly invoice with supporting documents to the development accountant;
- Liaison and answer queries with cash management and development Accounting Departments;
- Perform special assignments as required.
Academic/Professional Requirements:
- College Diploma and/or Certificate in business, accounting, or similar discipline
Required Skills/Experience:
- 6 months to 1 year accounts payable/ administrative experience – Preferably in real estate, development and/or construction
- Self-management attitude, able to anticipate needs and plan ahead.
- Detail oriented with excellent analytical and interpersonal communication skills
- Yardi Voyager 7S (or similar) experience considered an asset
- Proficient in Excel (intermediate) and Word (intermediate)
