As a trusted advisor and strategic partner, you'll work closely with the CEO, Board of Directors, and senior leadership to drive governance excellence and advance organizational objectives. Your responsibilities will include providing expert support to the CEO in their capacity as Corporate Secretary, fostering strong relationships with the Board, Executive Committee, and Governance and Nominating Committee, and driving governance planning and supporting the Board Chair in their role.

Duties may include, but are not limited to:
- Manage the executive calendar, ensuring seamless scheduling and organization
- Coordinate travel arrangements, accommodations, and itineraries
- Oversee email management, responding to correspondence and ensuring timely communication
- Prepare high-quality presentations, reports, and documents to support executive needs
- Coordinate events, meetings, and logistics, ensuring flawless execution
- Assist with budget preparation and financial planning
- Develop and maintain committee scorecards, tracking progress and performance
- Coordinate leadership meetings, ensuring effective communication and collaboration
- Support the CEO in their capacity as Corporate Secretary
- Interact with the Board, Executive Committee, and Governance and Nominating Committee
- Focus on governance planning and support the Board Chair in their role
- Manage and add value to board processes, including scheduling, minutes, and facilities planning
- Liaise with senior management and board members to ensure seamless communication
- Other administrative duties as required
Required skills and qualifications:
- Business/Office Administration Certificate required; university education or equivalent experience preferred
- Minimum 4 years of experience as an Executive Assistant, with a proven track record of success ideally supporting a CEO
- A strong background in minute-taking, governance, and board support, ensuring seamless execution of board meetings and activities
- Excellent interpersonal and relationship-building skills, with the ability to establish trust with senior management, board members, staff, and stakeholders
- Impeccable judgment, discretion, and confidentiality when handling sensitive information
- Highly organized and self-motivated, with a strong ability to prioritize tasks, manage multiple projects, and meet deadlines
- Proficient in minute-taking, with excellent writing and communication skills
- Proactive approach with the ability to anticipate and prioritize tasks, often before they are requested by the CEO
- Strong financial acumen, with the ability to understand and interpret financial data, and provide insightful support to the CEO
- Previous not-for-profit experience considered an asset
Monday to Friday – 7:00am to 3:00pm or 8:00am to 4:00pm
Salary: $80,000 - $90,000 per year; commensurate on experience
