Overview
We are seeking a detail-oriented and organized AR / Project Administrator to join our dynamic team. This role combines accounts recievable management with project coordinaton and administrtive support. The ideal candidate will play a crucial role in supporting project management activities, ensuring that all administrative tasks are executed efficiently and effectively. The ideal candidate will have strong analytical skills, proficiency in accounting software, excellent communication abilities to facilitate project success, and the ability to manage multiple priorities effectively.
Key Responsiblities:
- Manage customer invoicing, payment collections, and account reconciliations
- Monitor aging reports and follow up on overdue accounts
- Process payments and maintain accurate financial records
- Collaborate with the finance team to resolve discrepencies
- Provide exceptional phone etiquette when communicating with clients and stakeholders.
- Track project progress to maintain accurate invoicing and collections.
- Manage project documentation, including contracts, reports, invoicing, change orders and correspondence.
- Support project managers with administrative tasks as needed.
- Answer and direct phone calls, emails, and corrospondence.
- Prepare reports, presentations, and other documents.
- Maintain organized filing systems (physical and digital).
Qualifications:
- Proven experience in accounts receivable , collections, project coodination, or similar.
- Proficiency in accounting software (Quickbooks).
- Advanced skills in Microsoft Office (Excel, Word, Outlook).
- Excellent time management and mulitasking abilities.
- Familiarity with accounting principles and practices is essential.
- Strong analytical skills with the ability to interpret financial data effectively.
- Excellent negotiation skills to manage customer relationships successfully.
- Exceptional organizational skills with attention to detail in all tasks.
- Strong verbal and written communication skills to interact professionally with team members and clients.
- Experience in Constuction or Sub Contractor industry is a must
