As we grow, we are looking for a detail-oriented Operations Administrator to join our team and oversee vital administrative and operational functions.
Position Overview: The Operations Administrator will play a key role in managing our company’s purchasing, accounting, inventory, and financial operations. This position requires a deep understanding of QuickBooks, strong organizational skills, and a background in accounting to ensure seamless day-to-day operations.
Key Responsibilities:
- Purchasing:
- Source and order materials, equipment, and supplies as needed.
- Negotiate with vendors to secure favorable terms.
- Monitor and maintain optimal inventory levels.
- Accounts Payable & Receivable:
- Process invoices and payments promptly and accurately.
- Track and reconcile accounts receivable.
- Handle communication with vendors and customers regarding payments.
- Inventory Management:
- Track incoming and outgoing inventory.
- Ensure accurate records and resolve discrepancies.
- Accounting:
- Maintain financial records using QuickBooks.
- Assist in preparing financial reports and budgets.
- Reconcile bank statements and manage company accounts.
- Administrative Support:
- Support day-to-day office operations as needed.
- Assist with other tasks to ensure operational efficiency.
Qualifications:
- Strong proficiency in QuickBooks (mandatory).
- Background in accounting, with a minimum of 3 years of experience in a similar role.
- Knowledge of purchasing and inventory management practices.
- Exceptional organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent communication and interpersonal skills.
