POSITION OVERVIEW:
This position is designed to provide exposure to all aspects within accounting. This position would change reporting structures based on the team they are supporting within accounting. For example, reporting to the Supervisor, Accounts Receivable, Supervisor, Accounts Payable and Supervisor, Payroll. This individual will be responsible for providing accounting and administrative support to the Controller/CFO and other members of the Accounting Department and/or other specific departments as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Act as liaison between supervisor and others (i.e. departments, external contacts, customers, etc.);
- Performs filing, typing, data input and other clerical support to all other departments and personal, as directed;
- Open work order/project job numbers;
- Deposit
- Assist with timesheets
- Prepare and process company invoices and credit notes as requested;
- Maintain construction projects database;
- Produce customer statements by reconciling customer’s account;
- Produce sales report monthly;
- Produce expense reports for Executives;
- Prepare and produce cost ledgers for construction projects;
- Progress Billing, invoicing, WIP Reports for Project Managers, work order billing
- Manage jobs files in Jonas, add change orders, update customer info and other responsibilities as required.

EXPERIENCE, SKILLS & KNOWLEDGE:
- 0 – 3 years of previous accounting assistant support experience, preferably in construction environment;
- Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc);
- JONAS experience is preferred
- Superior attention to detail is a must; strong analytical skills favoured;
- Tactful and has professional demeanor, and ability to interact effectively with managers, employers, vendors and others;
- Excellent communication skills – verbal and written;
- Strong organization, record keeping and follow up skills;
- Demonstrated excellence in organization and time managements skills;
- High level of discretion and interpersonal skills to handle sensitive and confidential matters and documentation;
- Build and maintain solid work relationships with all levels of staff and management
- Must have the ability to multitask and prioritize work load
- Capacity to handle interruptions regularly;
- Demonstrated ability to be self-motivated, proactive and an effective team player.
TRAVEL:
WORKING CONDITIONS:
- In office conditions: Sitting for long periods of time, low levels of noise, regular lighting. Temperature can be adjusted as per employee’s preference with the use of fans or heaters.
- On site conditions: Walking or on your feet for long periods of time, high levels of noise, weather and temperature can vary depending on season, mainly outdoors.
