We’re looking for a motivated Finance Administrator/Executive Assistant to help ensure smooth operations, maintain financial accuracy, and provide vital support to leadership. Key Responsibilities
As a Finance Administrator/Executive Assistant, you will be responsible for a variety of tasks to support both our finance and leadership teams:
Administrative and Document Control
- Manage scanning, filing, sorting, mail handling, and other document-related tasks.
- Utilize and maintain a SharePoint filing system for efficient record-keeping.
- Assist with meeting coordination, including preparing documents, taking minutes, and tracking action items.
Financial Administration
- Generate accurate financial reports and collaborate with internal teams to resolve discrepancies.
- Support accounts payable and accounts receivable processes, ensuring accuracy and compliance.
- Perform bank and credit card reconciliations.
- Oversee accounts receivable pricing and billing accuracy.
- Contribute to month-end activities to ensure timely reporting.
General Duties
- Utilize accounting software; QuickBooks Enterprise experience is required.
- Execute full-cycle bookkeeping, leveraging at least two years of relevant experience.
- Take on additional tasks and special projects as needed to support the organization.
Qualifications
To excel in this role, candidates must demonstrate the following qualifications and skills:
- Experience: Minimum of 2 years in an administrative or executive assistant role. At least 2 years of full-cycle bookkeeping experience is required.
- Technical Proficiency: Advanced knowledge of Microsoft Office programs and SharePoint. QuickBooks Online/Enterprise experience is an asset.
- Attention to Detail: Strong focus on accuracy and the ability to handle confidential information with care.
- Organizational Skills: Exceptional ability to prioritize, multi-task, and remain focused in a fast-paced environment.
- Education: Background in accounting is required.
- Communication Skills: Excellent verbal and written communication.
- Additional Assets: Experience in human resources, logistics, and project management is a plus.
