The Position:
The Executive/Personal Assistant to the owner of a 60-person IT company is a pivotal role that supports the daily operations and strategic initiatives of the owner's professional and personal life. This position demands a high level of discretion, maturity, and the ability to manage complex schedules and communications effectively. The ideal candidate will act as the primary point of contact for internal and external constituencies on matters pertaining to the office of the owner.
Key Duties and Responsibilities
Manage the owner's calendar, including scheduling meetings, appointments, and travel arrangements. Handle incoming and outgoing communications, prepare internal and external corporate documents for team members and industry partners.
Utilize advanced technology tools to increase office efficiency and manage projects; maintain and protect digital files and confidential information with utmost discretion.
Serve as the owner's representative in dealings with both team members and external partners. Maintain professionalism, poise, and authority in various interactions, ensuring clear and effective communication.
Willingly undertake personal and professional errands as requested by the owner, understanding that all tasks, regardless of size, contribute to the owner’s effectiveness and efficiency.
- Proactivity and Anticipation:
Actively anticipate the owner's needs by staying informed of upcoming commitments and responsibilities, following up appropriately, and managing potential scheduling conflicts proactively.
- Organizational Management:
Streamline the owner’s obligations into organized systems, managing both professional and personal appointments. Ensure that the owner's day-to-day operations run smoothly and are aligned with set objectives.
Maintain the highest levels of confidentiality and security in all forms of communication and record.
Qualifications:
- Preferably a bachelor’s degree in Business Administration, Communications, or a related field.
- Minimum of three years in an executive support role, ideally within an IT or technology-driven industry.
- Strong skills in office productivity tools (such as Microsoft Office Suite, Google Workspace), project management software, and the ability to adapt to new technologies used by the company.
- Exceptional interpersonal skills, with an emphasis on relationship management and influential communication.
- Highly organized and detail-oriented with an ability to manage multiple priorities and complete tasks within tight deadlines.
- Maturity, discretion, enthusiasm, and a positive, can-do attitude are essential. Willingness to undertake a wide variety of tasks, both of a professional and personal nature, without judgment.
- Demonstrated ability to handle confidential information and conduct business with integrity.
- Excellent English language skills
