Overview
We are looking for an experienced and versatile Office Administrator to join our team. This on-site role is essential to the smooth running of our operations, requiring a resourceful individual who can multitask, think on the spot, and work collaboratively across departments. The ideal candidate has a strong background in office administration, excellent communication skills, and is highly proficient with modern tools and platforms. They will be at the heart of our organization, ensuring everything runs smoothly and efficiently.
Responsibilities:
- Communication and Collaboration:
- Answer calls and handle inquiries or issues from customers and suppliers.
- Collaborate with warehouse staff and other team members to ensure efficient operations.
- Draft and respond to professional emails promptly and effectively.
- Administrative and Record-Keeping:
- Maintain accurate records of inventory, invoicing, and financial transactions.
- Fulfill and manage online orders through Shopify and Amazon platforms.
- Use QuickBooks for invoicing, bill payments, and general bookkeeping.
- Technology and Tools:
- Leverage AI platforms like ChatGPT and Perplexity to streamline administrative tasks.
- Manage data and reports with high proficiency in Excel.
- Social Media and Marketing Support:
- Assist with social media tasks, including content scheduling and engagement.
- Problem-Solving and Multitasking:
- Address operational challenges quickly and effectively.
- Balance multiple priorities in a fast-paced environment.
- On-Site Operations:
- Maintain a presence on-site to oversee day-to-day office activities and ensure smooth operations.
- Be a central figure in facilitating effective communication and organizational efficiency.
Qualifications:
- Minimum of 3 years of experience in office administration or a related role.
- Excellent multitasking, organizational, and problem-solving skills.
- Proficiency in QuickBooks, Excel, and other office productivity tools.
- Experience or willing to learn Shopify and Amazon order fulfillment.
- Strong written and verbal communication skills.
- Ability to work well in a team and maintain a positive, solutions-focused attitude.
