Role Description
As the Assistant Controller you are primarily responsible for supervising the Senior Accountant and Accounting Clerk while providing backup for other team members in our small finance department. A Public Outreach finance team member needs to be flexible while maintaining high standards of ethics and honesty. Strong spreadsheet and reconciliation skills are a must. Direct experience with Quickbooks Online is highly desirable. The role requires interaction with many stakeholders both internally, and outside the organization, so precise and timely communication is valued.
Essential Skills
- Bachelor's degree in Accounting, Finance, or related field
- Valid Canadian CPA designation
- Strong understanding of ASPE and Canadian GAAP
- Proficiency in Microsoft Excel/Google Sheets, including Power Query and accounting software (e.g., QuickBooks Online)
- Excellent analytical and problem-solving skills
- Detail-oriented with a high level of accuracy in work
- Effective communication skills, both verbal and written
- Ability to work independently and as part of a team in a fast-paced environment
- Strong organizational skills with the ability to prioritize tasks effectively
- Minimum 8 years of progressive experience in an accounting department
- Experience with supervising employees
Beneficial Skills
- Experience supervising Accounts Payable team members
- Knowledge of face-to-face fundraising or other charitable experience
- Experience with GST/HST/QST accounting
Key Responsibilities
- Supervision of Senior Accountant including reviewing weekly revenue bookings and invoices.
- Supervision of Accounting Clerk including approval of invoices below certain limits, review of receipts submitted, and ensuring accuracy of entry.
- Conduct reconciliations of general ledger accounts to ensure the accuracy and completeness of financial data.
- Support month-end and year-end close processes, including journal entries and accruals.
- Collaborate with cross-functional teams to gather relevant financial information and provide support as needed.
- Ensure compliance with internal controls and accounting policies.
- Contribute to process improvements and efficiencies within the accounting function.
- Support external audit activities by providing documentation and explanations as required.

Key Results Areas
Finance & Accounting
- Accounts Receivable – Ageing, Revenue confirmation
- Internal revenue reporting
- Customer maintenance in Quickbooks and proprietary database
- General ledger maintenance/account reconciliations
- Liaise with sales and data team to verify invoices and ensure contract pricing compliance
- Maintain financial files and records
- SOP generation and maintenance for all AR tasks
Communications
- Internal – Works closely with Fundraising Offices, Stewardship, Logistics, IT, Client Partnerships, Human Resources and Payroll
- External – Vendors, Accounting Consultants, Governmental Organizations
