Reporting to the CEO, the Bookkeeper/Admin. Support will undertake primarily bookkeeping/accounting activities and assist with various administrative and sales related tasks.
Bookkeeping/Accounting:
· Maintaining an accurate record of financial transactions.
· Entering expenses in Quick Books.
· Collecting receivables.
· Conducting analyses and overseeing administrative operations related to bookkeeping.
· Assisting in preparation of operating budget.
· Updating and maintaining the general ledger.
· Reconciliation of entries into the accounting system.
· Recording of debits and credits.
· Maintaining the trial balance, by a reconciliation of general ledgers.
· Fact-checking accounting information.
· Recording all transactions.
· Balancing subsidiary accounts to reconcile accounts.
· Ensuring all financial actions comply with local legal requirements.
· Preparing financial analysis.
· Preparing financial reports by analyzing, collecting, and condensing account trends and information.
· Assisting with cash flow projection
Sales:
· Interacting with suppliers and customers as instructed and as needed by the CEO.
· Assisting the CEO with the Sales management system entry and monitoring. (Hub Spot).
Administrative
· Maintaining files and records with effective filing systems.
· Overseeing and implementing administrative procedures.
· Overseeing and coordinating office administrative procedures and reviewing, evaluating and implementing new procedures.
· Establishing work priorities and ensuring deadlines are met and procedures are followed.
· Coordinating and planning for office services, such as equipment and supplies.
· Establishing and implementing office procedures and practices. (SOPs)
· Developing and creating SOPs as needed.
Requirements:
· Understanding accounting best practices.
· High attention to detail.
· Extremely organised.
· Proficiency in Microsoft Excel.
· Produce work with a high level of accuracy.
· Trustworthy and ability to maintain a high level of confidentiality.
· Experience using Quickbooks.
· Familiarity with spreadsheets, formulas, and data analysis tools.
· A general understanding of the main accounting principles, such as accruals and revenue.
· Effective verbal and written communication skills.
· Capable of spotting and resolving discrepancies.
· The ability to work on multiple projects while adhering to tight deadlines
· The ability to communicate complex financial data with other members
· Good data entry skills.
· A strong understanding of math and numbers.
· The ability to use various financial transactions such as accounts payable and accounts receivable.
· Knowledge of relevant tax requirements and how to prepare basic tax documentation.
Education and Work experience:
- Bachelor’s degree in accounting, finance, or related field is an asset
- 2-3 years of experience
- CPA is a plus
- Previous bookkeeping experience preferred
