Accounts Payable Clerk

Role and Responsibilities:

Coordinate with the Finance Department to obtain invoicing worksheets and review them for accuracy and completeness.
Distribute invoicing worksheets to the firm's Partners and follow up to ensure timely completion.
Work with Partners to ensure billable time is correctly recorded in the system.
Verify billing data, checking for errors or inconsistencies, and make necessary corrections.
Identify billing deviations and seek approval from the Managing Partner before drafting invoices.
Draft invoices in the firm’s billing system and ensure they are generated correctly.
Notify Partners when invoices are ready for review, finalization, and dispatch.
Manage the invoicing process when input is required from multiple Partners.
Follow up with Partners on any delinquent invoices and escalate to Managing Partners as needed.
Ensure that all finalized invoices are promptly sent to clients.
Assist Partners with client invoicing queries and provide support as required.
Collaborate with the Accounts Receivable department when necessary to ensure invoicing and payment processes are streamlined.
Handle general administrative duties, including responding to internal inquiries.

Qualifications:

Post-secondary education in Office Administration, Business Administration, or a related field is preferred.
Previous experience in a Professional Services environment is an asset.
Strong interpersonal and problem-solving skills.
Ability to handle confidential information with discretion and tact.
Self-starter with the ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Strong computer skills, including proficiency with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, and Teams).
Familiarity with accounting software and ERP systems is an asset.
Strong written and verbal communication skills, with excellent attention to detail and organization.
