Job Overview
We are seeking a detail-oriented and very organized Accounting and Payroll Specialist to join our team. This role will involve managing the payroll processes, maintaining accurate financial records, and ensuring compliance with relevant regulations. Also assisting with monthly closings and account analysis and supports the Controller in carrying out the responsibilities of the accounting department. The ideal candidate will have a strong background in accounting principles and payroll administration.
Key Responsibilities
- Create and establish payroll guidelines and deadlines for all payroll requirements to ensure accuracy and consistency in practice amongst payroll team,
- Process payrolls for all employees accurately and on time.
- Maintain and update employee information, such as records of employee attendance (timecards) and overtime to calculate pay and benefit entitlements.
- Maintain payroll records and prepare payroll reports.
- Resolve payroll discrepancies by collecting and analyzing information.
- Ensure compliance with government, and local payroll laws and regulations.
- Prepare and report source deductions, WSIB, EHT, group benefit remittances and RSP contributions (monthly).
- Prepare and report union remittances (monthly).
- Reconcile, prepare, audit and submit all reports and /or remittances including T4’s WSIB etic.
- Administer STD and LTD benefit programs in accordance with established guidelines.
- Perform and coordinate all year-end requirements/reconciliations including T4/WSIB and EHT, etc.
- Working with upper management to improve current payroll process and introduce new procedures.
- Generate monthly scheduled ad=hoc reports in payroll system including but not limited to Labour reports, headcount, overtime, attendance, hours worked, and progress increments.
- Collaborate with HR to manage employee benefits and compensation.
- Respond to employee inquiries regarding payroll and accounting matters.
- Complete monthly bank reconciliations.
- Perform general ledger account (payroll) reconciliations and resolve discrepancies.
- Prepare journal entries (payroll accounts).
- Support month-end and year-end closing processes.
- Annually balance payroll general ledger accounts with payroll subledgers.
- Assist in the preparation of annual financial statements and reports.
Qualifications
- Bachelor's degree or diploma in Accounting, Finance, or Business Administration, and Payroll Compliance Professional (PCP) designation, CPA designation or working towards completion is a benefit.
- A minimum of 10 years of full-cycle payroll experience in a fast-paced computerized environment.
- Proficient knowledge of accounting principles and practices.
- Excellent communication skills, both verbal and written.
- Experience in gathering data, compiling the proper information, and preparing financial summaries.
- Able to perform account reconciliations.
- Excellent teamwork and team building skills.
- Effective mindfulness and a high degree of accuracy.
- Strong work ethic and positive team attitude.
- Sound analytical thinking, planning, prioritization, and execution skills.

- Strong problem identification and problem resolution skills.
- Elevated level of proficiency with Microsoft Office – Must be at intermediate level in Excel (i.e., creating and using pivot tables, v-lookup, advanced data manipulation).
- Experience with Gary Jonas Computing Software.
