Overview
Levine Financial Group has been providing physicians with insurance, tax and estate planning services since 1967. We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations and manage client files, ensuring smooth and efficient administrative processes. This role is perfect for someone who thrives in a fast-paced environment and possesses excellent communication skills.
Duties
- Act as the first point of contact for clients by answering phone calls, messages, and emails.
- Receive, sort, distribute, and file incoming mail, fax, memos, and general correspondence.
- Order office supplies and perform inventory control.
- Prepare premium notices and follow up with clients for premium payments.
- Process cash surrender and adjusted cost base value requests; share with clients or their accountants.
- Prepare insurance status reports and reporting letters for clients.
- Process any inforce change requests such as ownership and beneficiary changes, collateral assignments, address and banking changes, cancellation requests.
- Update and manage the CRM database.
- Handle outbound mail, couriers etc.
- Keep track of and pay office bills and expenses in a timely manner.
- Collaborate with team members to ensure efficient workflow and communication.
- Perform other duties, as assigned.
Qualifications
- Bachelor's degrees from an accredited university.
- Proven experience as an administrative assistant or in a similar clerical role is preferred.
- Excellent phone etiquette and interpersonal communication skills.
- Ability to multitask effectively while maintaining a high level of accuracy.
- Highly organized; proactive thinker, with excellent attention to detail.
- Strong aptitude for technology with significant experience using Microsoft Office and CRM software.
Compensation & Benefits Package:
This position comes with a base salary plus RRSP contribution, participation in our profit-sharing program, extended health and dental care, and the opportunity for long-term career growth and development. Base salary will be commensurate with experience, skills, and qualifications.
