This is a remote position. The successful candidate must be located in Canada.
The Payroll Specialist is a vital role managing payroll for two companies across ten locations, encompassing approximately 1,000 employees, including salaried, hourly, and contract staff.
Responsibilities:
- Administer payroll for multiple provinces, ensuring precision and punctuality for all employees.
- Collect and validate payroll documentation from various offices.
- Input data for new hires, terminations, and personal or job-related changes.
- Maintain calculation tables for maternity benefits, short-term disability, and salary continuance.
- Update and manage employee benefits and deductions.
- Input and audit payroll data into the payroll system, correcting any discrepancies.
- Collaborate closely with payroll service providers to deliver error-free payroll.
- Process manual cheques as needed.
- Issue Records of Employment (ROE).
- Generate regular and on-demand payroll reports.
- Reconcile payroll-related accounts as necessary.
- Handle monthly and quarterly remittances to third-party providers.
- Ensure timely remittance and reconciliation of bi-weekly RRSP contributions.
- Prepare journal entries and reconcile tax forms and other payroll accounts.
- Maintain organized records of all payroll documentation and correspondence.
- Research and respond to inquiries from third parties.
- Draft employment confirmation letters.
- Address various employee and external inquiries regarding payroll.
- Verify and prepare termination packages, adhering to legislative requirements.
- Support the rollout of a new HRIS and Payroll System.
- Identify and recommend improvements to payroll processes.
Qualifications:
- Diploma or certificate in Finance, Accounting, Human Resources, or a related discipline, along with a minimum of 5 years of payroll experience, ideally on a national scale.
- Certification from the National Payroll Institute is a plus.
- Proficient technical knowledge of payroll systems. (UGK is an asset)
- Intermediate to advanced proficiency in MS Excel is required.
- Familiarity with employment legislation and HRIS systems.
- Strong skills in MS Office Suite, including Word, PowerPoint, and Outlook.
