Desjardins Psychotherapy Clinic
We are seeking an outgoing, detail-oriented, efficient person to join our amazing team in providing front desk support, administrative assistant to the CEO and bookkeeping for our psychotherapy private practice. The ideal candidate will be adept at prioritizing and multi-tasking, have a positive attitude, and be bilingual in French and English. This Candidate will also be willing to learn and grow with us!
Pay: $23 per hour
Shifts: Some daytime and evening hours - part-time up to 20 hours per week
Start date: mid-October 2024
This role will report to the CEO and clinical director, Julie Desjardins.

At Desjardins Psychotherapy Clinic, we have a team of highly trained mental health clinicians dedicated to providing individual, couples, and family therapy to clients ages 10+ years old. Our professionals are committed to helping clients achieve emotional and psychological well-being. We have offered mental health services in both official languages - French and English - to our community since 2017. We utilize a new third-wave approach and evidenced-based therapeutic models to provide a safe environment supporting clients through life’s challenges.
We are currently moving to a larger space by mid-October 2024 to accommodate our growing clinic.

To succeed in this role …..
You will be great for this role if you possess excellent communication skills and the ability to lead and promote the clinic's vision. You must be able to stay organized, think 10 steps ahead, and have the ability to see the big picture with an entrepreneurial mindset. You have a passion for helping others as you will be communicating with our clients.
Language requirements
- Be fluent in French and English, a third language is welcome but not mandatory
Qualifications
- 2-3 years of experience in Client Care and Customer Service (preferably in a medical office at the front desk)
- 2-3 years of experience in bookkeeping and medical record-keeping skills
- Psychology undergraduate and graduate students are welcome but not mandatory
Responsibilities
- Support our psychotherapists with client bookings, payments, administrating intake & consent forms, etc.
- Support our clients by welcoming them to the office, answering calls and emails, processing payments at the end of sessions, etc.
- Maintaining Quality Assurance by following up on payments, securing payment information, uploading secure documents, and managing the booking software including schedules and treatments offered
- Tracking sales and financial records and ROAS for the clinic
- Processing the clinic's financial expenses and staff payroll
- Maintenance of office area, office supplies, clinical files, etc.

- Juggling multiple projects and to-do’s simultaneously is no problem for you — you work well under pressure and can meet deadlines
- Tech savvy (we are mostly paper-less and everything is online)
- An appetite for innovation and simplicity who is highly process-oriented
- Working autonomously comes easy to you but you also love collaborating with a talented team
- Considerable experience using the Google Drive Suite, Gmail, and Quickbooks Online in a work environment
- Knowledge of Jane's electronic management scheduling software is an asset
