Key Responsibilities:
Reporting directly to the Executive Director of the Sunnybrook Academic Family Health Team (SAFHT) the Senior Administrative Assistant will :
· Draft, type and edit memorandums, letters, presentations, reports, minutes/agendas, and policies and procedures;
· Organize, maintain and prioritize the schedule of the Executive Director;
· Provide support to the Board of Directors of the SAFHT (planning meetings, agenda and minutes)
· Assist with the development and submission of annual reports
· Liaise with staff on all issues, concerns and suggestions with a goal to ensure a positive and productive environment;
· Establish and maintain relationships with key stakeholders (Sunnybrook, Ministry of Health, OHIP, WSIB, North Toronto Ontario Health Team (NT-OHT), Department Of Family and Community Medicine (DFCM)
· Coordinate training, and on-boarding of employees as required;
· Monitor office supplies and orders as needed
· Create, review and amend office procedures and policies as required;
· Ensure on-site equipment is in proper working order
· Be the main point of contact for all site issues;
· Perform other clerical duties such as filing, photocopying, faxing and mailings;
· Assist with non-OHIP billing and preparation of billing reports
· Facilitate Medical/Legal record transfers to patients, health care facilities, and insurance companies following strict privacy and Personal Health Information directives
· Other duties as assigned.
Key Qualifications and Skills:
· Minimum 3 years of applicable professional experience
· Experience working in healthcare, primary care an asset
· Excellent problem solving, analysis and resolution skills
· Ability to work effectively, demonstrate composure under pressure and in stressful situations
· Ability to prioritize and identify relevant support for the resolution issues in the day to day operations
· Strong customer service orientation with excellent interpersonal and communication skills to liaise with all levels of hospital staff as well as individuals from various community needs.
· Proven experience with various software applications, such as Microsoft Office, Word, Excel, PowerPoint, Outlook. PSS EMR experience an asset.
Ability to manage patient confidentiality at all times
