As an Administrative Assistant, Terminal Infrastructure, you will:
- Prepare invoices for payments, including reviewing them for accuracy, balancing receipts and invoices with contracts
- Conduct searches for quotations and purchase orders in Oracle to match invoices, coding, acquiring authorizations and forwarding all invoices to the finance department
- Assist with maintaining and reconciling budgets, tracking monthly expenses and advising managers of variances in the budget
- Build charge/backs and journal vouchers from one account to the other
- Maintain inventory records
- Assist with procurement and tendering and will prepare and collect information and documents pertaining to contracts for tenders
- Work alongside the Functional Managers with regards to their contracts to ensure the accuracy of its management
This unionized position has an hourly wage range of $36.44 based on a 37.5-hour work week. The successful candidate must be available to commence the duties of the position once a selection decision has been made. A computer test and interview will be administered as a part of the competitive process.
This is the role for you, if you have:
- Minimum High School Diploma: post-secondary diploma specializing in accounting, bookkeeping or business financial practice is an asset
- Minimum 3 years’ demonstrated experience in accounts payable, expense tracking, accounting and contract administration
- Demonstrated experience working in a customer service-oriented environment
- Must be able to obtain and retain a Transportation Security Clearance
Knowledge and skills you bring, that set you up for success:
- Proven knowledge of General Accounting Principles, as applicable to the accounts payable and expense recognition functions
- Knowledge of Contract Administration principles, as applicable to Consultant and Construction contracts and able to apply standard contract administration procedures and practice
- Experience using a corporate-level ERP or financial system (i.e. Oracle, PeopleSoft, SAP, Maximo etc.)
- Intermediate skills using Microsoft Office suite, including Microsoft Excel, Word and Outlook.
- Knowledge of business office common policies, processes and operating procedures, telephone and personal etiquette
- Knowledge of forms design and filing regimes
- Exceptional communication and writing skills
- Ability to work in a fast-paced environment
- Strong interpersonal skills
