Our client is looking for an experienced
Executive Assistant to join their well-established business in the finance industry.
The office is located in downtown Toronto, in the heart of the Financial District.
Please note, that this role will require 5 days a week in the office (Monday-Friday). Responsibilities:
- Direct support to two C-Level Executives and as needed, to other senior leaders
- Managing email correspondence, complex calendaring, travel coordination, and monthly expense reports
- Liaise between internal, cross-functional teams, as well as occasionally with external partners
- Manage documents & presentation materials for internal & external meetings
- Coordinate distribution and logistical arrangements for corporate communications
- Manage Executive-level meeting agendas and distribute minutes and materials accordingly
- Assist in financial reporting, budget tracking, and expense management in compliance with company policies
- Event coordination for both on and off-site team events
- Proactively develop and provide recommendations to streamline office operations to increase efficiencies for the Executive Team
- Handle confidential records and sensitive information with the utmost discretion and professionalism
- Support team with general office duties, inclusive of occasional backup Reception coverage
- Occasional Executive support outside of working hours (based on the needs of the business)
Qualifications/Experience:
- Minimum 2 years of experience as an Administrative Assistant
- Strong organizational skills and incredibly high attention to detail
- Proficient in Microsoft Office and Docusign
- Proactive and clear communicator with demonstrated ability to work with diverse groups of people
