About Us:
Reconnect Community Health Services is a not-for-profit health service organization in the west end of Toronto. Our services include supports for seniors, caregivers, and people living with mental health and addictions concerns. We pride ourselves on being at the forefront of client-centred care in our sector.
The Administrative Assistant will provide administrative support to the Multidisciplinary Teams and other departments of the organization. The Administrative Assistant will possess exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The Administrative Assistant will assist in scheduling and coordinating meetings/ or events and assist with various administrative tasks as directed.
What You'll Do:
Key responsibilities include but are not limited to the following. Other duties may be assigned at the discretion of the organization:
Multidisciplinary Teams Support:
- Scanning/filing clinical records
- Data collection and analysis, using appropriate software (MSWord, Excel, Outlook)
- Creating and distributing reports, as required
- Attends and takes minutes at meetings as required;
- Respond to inquiries from clients, families and others;
- Coordinate team members’ schedules;
- Track client hospitalizations / Emergency Department presentations and enters into
- Client Management Systems;
- Book and confirms client appointments for Team Psychiatrists and Primary Care
- Physicians;
- Prepare client records upon discharge as required;
- Prepare monthly on-call schedule for all teams;
- Forward the on-call line for multidisciplinary teams at the end of each day;
- Prepare cluster schedule for staff;
- Coordinate vacation time for both teams; and documents unscheduled work absences;
- Ensure that client profile and demographic information on client information systems is accurate and up-to-date;
- Collect drug cards for pharmacy;
- Distribute supplies and equipment to new staff;
- Substitute for other administrative staff as required;
- Deliver all services in a professional manner and according to established guidelines and associated benchmarks;
- Schedule staff performance reviews based on manager’s Outlook calendar availability;
- Prepare Client Welcome Packages for all Reconnect MHA programs;
- Prepare group materials for psychoeducational programs;
- Organizational point of contact for Furniture Bank
General Administrative Support:
- Prioritize incoming requests in a timely manner;
- Support departments with preparing for groups, meetings, conferences and community outreach events;
- Provides back-up support for the receptionist as required.
Confidentiality
- Exercise the utmost discretion and confidentiality in handling sensitive information, relating to the daily activity of the individuals and departments support is provided to
The successful candidate will possess:
- College Diploma or higher education in Administration or Business
- Minimum 3 years experience working in administration, preferably within community services
Technical and Behavioral Competencies Required:
- College diploma or undergraduate degree is required.
- Minimum 3 years administrative support experience, in a fast-paced and highly visible organization
- Proactive, self-starter who takes initiative, owns projects and meets deadlines aligned with business objectives.
- Exceptional (written and verbal) communication skills and interpersonal skills. Develops lasting, positive and value-adding relationships.
- Strong interpersonal skills and able to relate well to others;
- Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task under pressure and with time-sensitive deadlines.
- Excellent organizational skills;
- Technologically savvy and highly proficient with Microsoft Office (Word, Excel, and PowerPoint) and other applications, as required.
- Mature personality with the ability to observe and maintain high standards of confidentiality;
Workplace Requirements:
- Works a 37.5 hours workweek, Monday through Friday and as needed after hours
- Office Based position
- Work hours may vary depending on the needs of the agency
- Attendance at outside meetings and special events may be required from time-to-time.
