Job description
Vestacon Limited is seeking an Accounts Payable/Administrative Assistant to work with our accounting department and Toronto Head Office team.
The successful candidate will be capable of working in a fast-paced, team environment as well as working independently to ensure processing and completion of relevant tasks in a timely and accurate manner.
Responsibilities:
- Providing administrative support to the Toronto Office (in-person) and Vancouver office (remotely)
- Managing the day-to-day administration and records management
- Organizing and filing department files
- Maintaining and organizing documentation
- Other administrative duties as required (i.e meeting minutes, managing mail and packing slips etc.)
- Correspond with vendors for invoice discrepancies. Have invoices revised or receive credits; respond to other inquiries
- Review and verify other admin invoices and cheque requests
- Reconcile vendor statements and follow up on past due payables for approval / resolving issues
- Sort, code, and match invoices
- Enter, scan and upload invoices into the system
- Post transactions in the payable system
- Maintain vendor files
- Other duties as assigned
Qualifications:
- 1-3 year of administrative and/or accounting experience. Construction office experience an asset. Open to Accounting and Business new graduates. (Position is available for more senior candidates and pay will be adjusted as necessary commensurate on experience. Please indicate salary expectations in your application).
- Relevant accounting/business diploma or degree an asset
- Strong knowledge of Microsoft Office (Word, Outlook, Excel)
- Effective time management and communication skills
- Excellent attention to detail
- Ability to maintain the confidentiality of company information
