Our client, a large retail distributor located in North Toronto requires an Executive Assistant to join their team, supporting the CEO. The Senior Executive Assistant to the CEO is responsible for providing high-level administrative support to the Chief Executive Officer (CEO) of the company. The ideal candidate must be a self-starter, have excellent organizational skills, and be able to prioritize tasks effectively to ensure the CEO's schedule is managed efficiently. The Senior Executive Assistant must be able to work in a fast-paced environment and be comfortable working under pressure, while always maintaining a professional demeanor. The Senior Executive Assistant must be proactive, able to anticipate the CEO's needs, and demonstrate an elevated level of discretion and confidentiality. This office is in-office five days a week with the potential to attend trade shows in North America. The successful candidate must have consumer goods and/or retail experience.
Responsibilities:
- Handling the CEO’s calendar, scheduling appointments, managing email exchanges, phone conversations, and arranging travel
- Organizing leadership team meetings, board meetings, and client engagements
- Supporting project management and company operations, providing the CEO with regular updates on project progress, recognizing potential issues, and offering resolutions
- Taking comprehensive notes and maintaining minutes of meetings, as well as managing a digital filing system
- Conducting research to inform decision-making processes
- Drafting, editing, and reviewing correspondence, presentations, and legal documents
- Supervising both internal and external corporate communications and orchestrating company-wide events
- Treating confidential information with utmost discretion
- Administering travel logistics, expense management, and office staff supervision
- Completing personal errands and assisting with family office management as required
Role requirements:
- A Bachelor's degree or comparable experience in a related field
- At least 5 years of experience in an executive assistant role, ideally in a high-level position
- Prior experience in privately owned companies or family office management would be advantageous
- Outstanding organizational, project management, and multitasking abilities
- Excellent interpersonal skills and communication proficiency, both in written and verbal form
- Proficiency in Microsoft Office Suite and other relevant software applications
- The flexibility to accommodate work during non-standard business hours as required
