We are currently accepting resumes for a Lead Payroll Administrator to join the Human Resources Team. This is a permanent, full-time position located in our Cambridge Member Centre.
Job Summary:
This position is responsible for leading the management of the payroll process and contributing to and affecting process improvement. This position will work collaboratively within the Human Resources Team to provide and maintain timely and accurate day-to-day administrative support. Responsibilities will include leading the processing of the full cycle and all aspects of in-house payroll processing, remittances, filings according to established procedures while continually looking to identify efficiencies. This role will primarily provide Payroll expertise and may be expected to support associated HR tasks as needed.
Key Responsibilities:
- Lead, manage and process semi-monthly in-house payroll independently and with minimal supervision according to employment contracts, offer letters and all relevant new hire paperwork in accordance with CLAC policies. This includes tracking and verifying information from a variety of sources, lists, and reports.
- Calculation of various Payroll items for processing, including creating and maintaining month end reports.
- Generate and evaluate routine reports throughout the payroll process to identify and resolve exceptions and maintain data integrity.
- Ensure updating and maintenance of payroll system and managing software applications.
- Administration and oversight of new hires, terminations, transfers, increments, reclassifications, and amendments.
- Maintaining computerized HR/Payroll system and paper/electronic documents in a timely, consistent, and well-organized manner.
- Manage, oversee, and/ or administer Pension & Benefit for new enrollments.
- Manage, oversee, and/or maintain Benefit programs such as HCSA & Fitness for eligibility and annual elections.
- Contribute and implement ideas to improve HR/Payroll systems and processes.
- Administer Records of Employment and remittance filings in accordance with legislative timelines and respond to any employment insurance enquiries.
- Lead on the preparation of year-end filings.
- Supervise the reconciliation of payroll data monthly and for year-end purposes.
- Compose and distribute routine written correspondence from Payroll/HR.
- Provide Payroll information to employees and line managers in accordance with relevant policies/practices.
- Stay updated with Payroll best practices and changes in payroll legislation, tax rates, and statutory requirements, advise on and implement pay practices where appropriate.
- Confirm employment verification with external sources as needed.
- Maintain administrative forms, manuals, and template documents pertaining to payroll.
- Provide direction, training, and expertise to junior payroll staff, resolving complex payroll-related issues and queries, and to other members of the HR/Payroll team as required.
- Prepare and maintain standard and ad hoc reports, queries, and conduct appropriate audits to ensure data integrity.
- Collaborate with HR colleagues and finance team to ensure accurate employee data management and seamless payroll integration.
- Participate in the evaluation and implementation of payroll system upgrades or enhancements.
- Carry out any other ad hoc duties to support the Payroll and HR teams as required.
Qualifications:
- Completion of college or university.
- Payroll Leadership Professional (PLP) or working towards would be an asset.
Skills and Experience:
- A minimum of 4 years’ progressive generalist experience in Payroll administration (essential).
- Payroll experience in a unionized context (essential).
- Experience with Avanti is a significant asset.
- Organized and skillful in using in-house payroll database systems.
- Knowledge of Payroll and accounting practices and principles, including reporting and remitting requirements.
- Ability to prioritize, multi-task and complete assignments under strict deadlines.
- Extremely detail-oriented with ability to work with and manage confidential information and use independent judgment.
- Demonstrated success in optimizing payroll processes and commitment to continuous quality improvement.
- Proficiency in MS Office and must have advanced Excel skills.
- Excellent verbal and written communication skills to effectively deal with all internal and external stakeholders in the resolution of problems (including providing training and oversight).
- Strong communication and interpersonal skills.
- Innovative with ability to manage and create efficient processes.
- Enjoy working with people and sharing knowledge.
- Ability and willingness to maintain subject matter expertise.
Reporting and Accountability:
This position reports directly to the Human Resources Director.
