Job Overview
The Accounts Payable Administrator provides support to Procurement teams to effectively ensure prompt payment of invoices, subcontractor compliance, and vendor compliance to ensure uninterrupted and timely flow of products and services. This role provides support for all vendor finance, and subcontractor compliance services.
Responsibilities
- Monitor Open PO Report for both material and subcontractor PO’s and work with both vendors and subcontractors to reconcile statements and obtain invoices for payment as required.
- Primary lead for all vendor invoices submitted that do not comply.
- Monitor all vendor and subcontractor statements on a consistent basis to ensure on time payments are being made.
- Monitor all Subcontractor activity to ensure compliance with subcontractor requirements.
- Assist with resolving any vendor/subcontractor invoice. This will include but is not limited to PO revisions and vendor/subcontractor account issues.
- Assist with Purchase Order entry where required for Subcontractors and Material requirements.
- Manage email inbox to ensure all subcontractor requests are filtered and distributed as required.
- Work closely with supply chain team and vendors to ensure compliance of internal processes..
- Develop relationships with vendors accounts receivable departments to improve communication and set requirements for invoicing.
Requirements
- Diploma and/or certificate in Customer Service, Business Administration, Finance, Supply Chain, or related experience required.
- Minimum of one-year of previous purchasing/buyer experience is preferred.
- Minimum of two-years of previous subcontractor management experience is preferred.
- Minimum of two-years accounts payable experience is preferred.
- Minimum of two-years customer service experience required.
