ELEMENTARY TEACHERS’ FEDERATION OF ONTARIO
INVITES APPLICATIONS FOR THE POSITION OF
ADMINISTRATIVE ASSISTANT – HUMAN RESOURCES (.5) & EVENT SERVICES (.5)
The successful candidate will provide confidential senior administrative support to the Human Resources Officer and to the Manager of Events Services. Responsibilities will include, but are not limited to:
Human Resources:
- Organize and maintain accurate employee files, ensuring confidentiality and compliance with company policies
- Respond to employee inquiries, offering clear guidance on HR policies and procedures
- Prepare and distribute various employment-related correspondence, such as confirmation of employment, probationary period letters, and retirement notices
- Maintain and update electronic tracking systems to ensure accurate recording of employee leave entitlements
- Ensure the accuracy and integrity of HR databases, generating reports on key HR metrics as needed
- Provide general administrative support with the recruitment process, including scheduling interviews, preparing documents, preparing and delivering new hire orientation packages
- Assist with benefits enrollment, ensuring employees are properly enrolled and have the necessary information about their benefits options
- Other duties as assigned by the manager or designate, including, but not limited to catering and reception relief
Event Services:
- Provide first-line support for event related inquiries via hotline and email; triage emails and calls, redirecting them to appropriate team members
- Create and email invoices for local billing through Sage accounting system
- Create registration materials for the events team, including but not limited to name badges, workshop labels, and sign in sheets
- Review catering needs (including dietary restrictions) for events and submit orders to preferred vendors
- Support the Manager with general event-related tasks as assigned
Skills required for this position may include, but are not limited to:
- Proven ability to handle sensitive employee information with the highest level of confidentiality and professionalism
- Strong interpersonal, written, and verbal communication skills, with the ability to make sound decisions and effectively resolve problems
- Exceptional organizational skills with the ability to efficiently manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment
- Proactive and detail-oriented, with the ability to identify and address needs
- Advanced technological skills in Microsoft Office 365 with the ability to quickly learn and adapt to new software
- Ability to safely lift approximately 10 lbs or more
