Overview
The MSU represents full-time undergraduate students at McMaster University. The MSU purpose is to draw into a true society all students at McMaster University. In pursuit of this, it will foster activities and events which will enhance the University experience of its members and contribute to the life of the University as a whole. Further, it will seek to facilitate communication between the student body, the University and other organizations and will organize and regulate student self-government.

We currently have a hybrid work model, in which employees can work from home for up to 40% of the work week.
Operating as a not-for-profit incorporated entity, the MSU is a unique organization with a wide spectrum of activities. The Payroll and Accounting Administrator oversees the administration of the payroll and the accounts payables functions of the MSU Accounting Department. In addition, this role is responsible for working with the Accounting Group to address problems, revise procedures and improve practices in the Accounting Department.
Responsibilities
Payroll Function
- Prepare and process the bi-weekly payroll for all MSU full-time and part-time employees
- Maintain employee files and calculate applicable benefits and taxes
- Distribute government employment forms and payments as required (R.O.E., T4's, E.H.T., W.C.B.)
- Make account allocations relating to payroll through applicable departments and post to general ledger bi-weekly
- Make accruals for payroll to applicable areas, such as Receiver General, Workers' Compensation
- Prepare all payroll schedules and summaries required for the annual external audit
- Start enrolment process for Employee Health/Drug plan and RRSP benefit plan
- Address all payroll inquiries
Accounts Payable Function
- Enter all invoices and other forms of accounts payable; distribute invoices to the appropriate budget manager for payment authorization
- Prepare, process and distribute all MSU cheques
- Interact with suppliers regarding shipments received, damaged/unpaid goods, etc.
- Prepare all accounts payable schedules and summaries required for the annual external audit.
- Address all accounts payable inquiries
Other
- Post administrative and fixed expenses
- Assist in audit preparation
- As time permits, other duties as assigned
Knowledge, Skills and Abilities
- Must have good organizations skills to plan, set priorities, and work with minimal direction
- Must have a strong understanding of accounting procedures and be current with current government regulations as they pertain to Payroll and applicable remittances
- Interpersonal skills are required to relate effectively to others; contact is made with various internal departments and external personnel on a daily basis
- Must demonstrate numerical accuracy in performing daily work
- Must have computer skills to input and review data using Microsoft Office and applicable accounting software
- Must be able to maintain confidential information
- Must have a good working knowledge of Accounts Payable functions, as work is ongoing
Effort
- A high level of concentration is required to ensure accuracy
- Must have good organizational skills to prioritize workload in order to complete work in a prompt manner, as reports are generated frequently
Working Conditions
- Must be able to complete work in stressful situations as a result of time constraints, multiple demands and constant unscheduled interruptions
Training and Experience
- College in related field an asset
- Two to three years work experience in current payroll system (ADP) Courses in computer accounting programs and spreadsheets
- PCP Designation an asset
