We're looking for a proactive and detail-oriented Office Manager with a strong focus on financial management to be the heartbeat of our office. If you’re passionate about streamlining processes, supporting financial operations, and ensuring smooth day-to-day functionality, we want to hear from you!
Key Responsibilities:
Financial Management and Support
- Coordinate month-end activities with accounting partners, ensuring timely and accurate completion of all internal requirements by key stakeholders.
- Support accounts payable processes, including basic reconciliations and documentation coordination.
- Oversee expense management, handling approvals, tracking, and policy enforcement to ensure compliance with finance procedures.
- Monitor and reconcile company credit card transactions, ensuring prompt categorization and accuracy.
- Assist with budget tracking, highlighting variances, and providing financial oversight for management.
- Track and manage project-related expenses, supporting effective project-based financial management.
- Maintain vendor relations by ensuring timely, accurate payments and handling overdue or missing invoices in collaboration with project managers.
Administrative and Office Operations
- Act as the friendly face of Ballance Containers, handling general reception duties, managing deliveries, and responding to sales and event inquiries.
- Develop and implement office systems and procedures to boost productivity and ensure a well-organized workspace.
- Liaise with maintenance teams, property management, suppliers, and cleaning staff to coordinate daily office needs, following Ballance’s procedures.
- Manage office supply inventory, reordering as needed to maintain efficiency.
- Assist with the planning and organization of office events to foster team spirit.
Additional Support and Ad Hoc Tasks
- Support audit and compliance activities by gathering and organizing necessary documentation.
- Provide ad hoc booking, reporting, and general administrative support as needed to facilitate smooth office operations.
