Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide efficient administrative support to ensure smooth day-to-day operations of the office. This role requires excellent communication skills, proficiency in office software, and the ability to multitask in a fast-paced environment. This role will be hybrid with three days in office two days work from home upon completion of training.
Key Responsibilities
- Provide administrative support to management and other team members.
- Answer and direct phone calls, emails, and other forms of correspondence.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Maintain organized filing systems (both electronic and physical) for company documents.
- Prepare and edit documents, reports, memos, and presentations as needed.
- Manage office supplies, equipment, and orders, ensuring timely restocking.
- Greet and assist visitors, clients, and vendors in a professional manner.
- Handle confidential information with discretion and integrity.
- Assist with data entry, maintaining databases, and generating reports.
- Help coordinate company events, meetings, and conferences.
- Support the HR department with onboarding tasks and document management as well as payroll tasks using Ceridian Dayforce and Powerpay
- Strong interpersonal and communication skills
Qualifications
- Undergraduate degree or higher in business administration or related field (preferred).
- Proven experience as an administrative assistant, secretary, or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office-related software.
- Bookkeeping experience
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills with attention to detail.
- Ability to multitask and prioritize tasks in a fast-paced work environment.
- Professional demeanor with a customer-service mindset.
- Ability to work independently and as part of a team.
Job Type: Full-time
Pay: $42,000.00-$60,000.00 per year
