We have a great opportunity within the Finance Department. We are currently hiring an Administrative Assistant to support the Head, Financial Planning & Analysis
You will provide administrative and secretarial support and provide efficient and effective administrative and office support services for the Head, Directors and Department. The role may carry out or coordinate special assignments and tasks as directed, and provide guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies.
In addition, you will provide meeting support for various meetings for the Group/Department. Prepare and/or assist in the preparation of documents, presentations, and reports, and distribute to the appropriate parties in accordance with established standards. Coordinate, prepare correspondence, and/or communicate verbally with others to ensure accurate and timely communication of information. Monitor, track and maintain information/data/ records/files, following up, and updating as required.
You will also liaise with Group/Department staff, other Groups/Departments, and/or external organizations concerning matters regarding assigned work.
Assist and/or prepare the department's administrative operating budget, capital budget, other budgets and/or cost estimates as required for the department, and may monitor expenditures. Coordinate and/or provide training to staff, including arranging for training and providing guidance relative to the resolution of problems.
The incumbent will also Participation in the TTC's Customer Service Ambassador Program.
- Completion of a post-secondary office administration education or combination of education, training and experience deemed to be equivalent with several years of progressively senior experience in an office administrative capacity.
- Sound knowledge of business administration concepts and practices as well as research methods and techniques
- Good working knowledge of modern office methods, practices, procedures and equipment
- Proficient in the use of a computers, mainframe and software applications relevant to the work (e.g. Microsoft Office, Internet Explorer, MMS, PPIN, OARS, Maximo, etc.)
- Familiarity with the Freedom of Information and Protection of Privacy legislation
- Sound judgement, excellent organizational, interpersonal, oral and written communication skills
- Ability to handle several responsibilities at once, under minimal supervision
- Ability to effectively coordinate and direct departmental administrative/office support activities and provide advice, guidance and direction regarding departmental administrative procedures, protocol and policies.
- Must have or must develop a good knowledge of TTC and departmental policies, processes and procedures related to the work.
- Must have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employees.
