Job Summary:
The Payroll Administrator is a dual-role position responsible for overseeing the complete payroll process for both hourly and salaried employees while also supporting various Human Resources functions. This role involves maintaining and updating all data in Ceridian Dayforce HCM, including payroll, benefits, and employee records. The Payroll Administrator is crucial for ensuring the accuracy of employee records, timely and precise benefits administration, and providing support to the Human Resources Manager in daily operations. This role helps maintain smooth and efficient Payroll and HR processes, enhances the employee experience, and contributes to other HR initiatives.
Job responsibilities:
· Manage full-cycle, bi-weekly payroll processing for both hourly and salaried employees in a non-unionized environment using Ceridian Dayforce HCM.
· Maintain and update all data within Dayforce HCM, including payroll, benefits, and document storage.
· Process payroll adjustments for new hires, terminations, taxable benefits, earnings, deductions, hours, commissions, vacation, and other entries.
· Audit and verify Time and Attendance to ensure accurate pay, including statutory holidays, vacation, and sick leave.
· Prepare and submit Records of Employment (ROEs) for terminated employees.
· Prepare, verify, and audit regular payroll reports, including headcount, overtime, payroll discrepancies, and statutory deductions.
· Ensure compliance with relevant government legislation and maintain accurate records for legal and regulatory requirements.
· Respond to and resolve employee payroll inquiries promptly and effectively.
· Complete year-end payroll procedures, including adjustments and verification of T4s and RL-1s.
· Reconcile benefit premium invoices with employee deductions and taxable benefits for Life, AD&D, Long-Term Disability (LTD), Critical Illness (CI), and other health benefits.
· Assist with onboarding new hires, coordinating orientation, and ensuring all necessary documentation is collected and filed.
· Support the offboarding process, including return of company property, final pay, and benefits termination.
· Maintain accurate employee records in Dayforce HCM and physical files, including personal data, job titles, salaries, and performance evaluations.
· Assist employees with benefits enrollment, changes, and general inquiries regarding health insurance and leaves of absence.
· Coordinate with benefit providers to ensure employee coverage and resolve any discrepancies.
· Support the administration of disability claims by gathering necessary documentation, coordinating with healthcare providers, and submitting claims to insurance carriers.
· Liaise with disability insurance providers to ensure timely processing of claims and resolution of any issues or discrepancies.
· Ensure that employee records related to benefits are updated accurately in the HR system and maintained confidentially.
· Assist with accurate records of training attendance, completion, and certifications.
· Assist in preparing HR metrics reports, such as turnover rates, absenteeism, total hours work and safety metrics.
· Provide support to the HR Manager on various HR projects, including performance management, recruitment efforts, communication, audits, tracking and reports creation, and employee training and engagement initiatives.
· Support the Human Resources Manager in reviewing resumes and applications to identify qualified candidates based on job descriptions and requirements, as needed.
· Provide head office support related to payroll and performance reviews to other business units, such as Fortress Europe.
· Other duties as assigned.
Academic/Educational Requirements:
· A Payroll Compliance Practitioner (PCP) certification is a strong asset.
· Post-secondary diploma/degree in HR, Payroll, or a related field.
Required Skills/Experience:
· Strong knowledge of Ceridian’s Dayforce Payroll System is preferred for this role.
· 3-5 years of experience in payroll processing and time & attendance tracking.
· Competent knowledge of payroll practices and payroll legislation.
· Experience with integrated payroll systems is required.
· 2-3 years of Human Resources experience.
· Strong analytical and organizational skills; must be detail-oriented.
· Ability to meet deadlines and manage multiple tasks simultaneously.
· Demonstrated ability to maintain confidentiality at all times.
· Professional phone manner and strong communication skills, both oral and written in English.
· Ability to work effectively with all levels of employees and internal departments.
· Proficiency in MS Office, with a high level of expertise in Microsoft Excel.
