Job Summary
The Payroll Manager will be responsible for managing and overseeing payroll functions for Canadian employees, ensuring accuracy and compliance with provincial and federal payroll regulations. This role requires proficiency in ADP Workforce Now and QuickBooks to ensure seamless payroll processing, tax filings, and financial reconciliations. The Payroll Manager will lead efforts to process employee wages, benefits, deductions, and tax filings, while ensuring compliance with Canadian tax laws and statutory requirements.
Key Responsibilities:
- Canadian Payroll Processing: Manage end-to-end payroll processing for Canadian employees using ADP Workforce Now, including calculations for regular pay, overtime, bonuses, and other compensation.

QuickBooks Payroll Integration: Accurately input and reconcile payroll data in QuickBooks, ensuring payroll entries align with the company’s financial reporting systems.

Tax Compliance & Reporting: Ensure compliance with Canadian payroll laws, including timely remittance of payroll taxes, Canada Pension Plan (CPP) contributions, Employment Insurance (EI), and other statutory deductions.

Prepare and file T4s, Records of Employment (ROEs), and other required payroll documentation.

Deductions & Benefits Management: Administer and manage employee benefits such as healthcare, retirement contributions, and other voluntary or statutory deductions in compliance with Canadian regulations.

Reconciliation & Auditing: Reconcile payroll accounts on a monthly basis, ensuring all payroll entries and taxes are correctly reflected in both ADP and QuickBooks. Conduct regular audits to ensure data accuracy.

Year-End Processes: Manage the year-end payroll process, including preparation and distribution of T4s and filing year-end tax reports with the Canada Revenue Agency (CRA).

Issue Resolution: Investigate and resolve any payroll-related discrepancies or issues promptly, including employee inquiries regarding paycheck accuracy, deductions, and tax withholdings.

Employee Records Management: Maintain accurate employee data in ADP Workforce Now, including new hires, terminations, salary changes, and benefit enrollments.

Payroll System Maintenance: Ensure that payroll systems are up to date, reflecting the latest regulatory changes and company policies.

Process Improvement: Identify opportunities to streamline payroll processes, improve accuracy, and enhance reporting capabilities.

Collaboration: Work closely with finance, and accounting teams to ensure payroll aligns with organizational goals and reporting requirements.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred

Minimum of 3 years of experience in managing payroll in Canada

Proficiency in Canadian payroll processes, tax laws, and regulations

Experience managing payroll for 100+ employees is preferred

Strong proficiency in using QuickBooks for payroll and financial reconciliation

Extensive experience in managing payroll through ADP Workforce Now, including system administration and reporting

In-depth knowledge of Canadian payroll regulations, including CRA guidelines, CPP, EI, and provincial tax laws

Experience with year-end payroll reporting, including T4 filings and ROE submissions

Strong analytical skills, excellent attention to detail, problem-solving abilities, and the ability to manage multiple priorities in a fast-paced environment

Certifications: CPC or Certified Payroll Manager (CPM) designation is an asset

Strong interpersonal and communication skills to collaborate effectively with employees and management

Ability to handle confidential information with a high degree of discretion and professionalism
