Position Title: Finance Assistant
Reports To: Vice-President Finance and Administration
Pay: ($28/hr - $32/hr) Depending on experience
Education: Successful completion of a post-secondary diploma or degree in a business or accounting program;
Terms of Office: 13 months (October 1st, 2024 - November 31st, 2025), 35hr/week.
Office Hours: 8:30am - 4:30pm Monday - Friday, September - April
8am - 4:30pm Monday - Thursday, May - August
Summary
The Finance Assistant is the counterpart for the Vice President, Finance and Administration per the Finance Department. This is also responsible for: Accounts payable; accounts receivable; additional bookkeeping duties; assisting in the yearly audit; and, assisting the Executive Committee in creating the annual budget. The Finance Assistant may be asked to sit on internal (i.e. Board of Directors Audit and Finance Committee) and external committees (i.e. the NUSU and NU Ancillary Fees Committee).
Duties and Responsibilities
The following is a list of duties and responsibilities that pertain to the role of the Finance. This includes, but is not limited to:
- Primary liaison in communications with banking representatives;
- Primary liaison with ACL Student Benefits in regard to the NUSU Student Health Plan;
- Acting as a resource for supervisors, managers, and employees;
- Providing guidance and assistance to all levels of management, as required;
- Keeping updated on legislative and corporate changes relating to payroll and human resources;
- Being responsible for administering the benefits and pension plan for all eligible employees;
- Ensuring accurate, timely processing of payroll for permanent salaried staff and occasional staff;
- Processing of employment changes
- Preparing documentation for internal and external audits and year-end reconciliation;
- Acting as the primary liaison with the auditors, accountants, and other financial third-party groups;
- Processing remittances such as WSIB, RSP, and garnishees according to established schedules;
- Maintains records of financial transactions
- Processing all invoices, payments, reimbursements, and other financial transactions for student groups (clubs and societies); issuing cheques; logging receipts; tracking and updating the account balances;
- Sitting on internal and external committees, as requested by the Executive Committee;
- Working in collaboration with the Director of Services, Marketing Associate, and the Executive Team in creating and maintaining sponsorship opportunities and community partnerships;
- Working with Vice-President, Finance & Administration to consult on budget and best practice;
- Presenting financial reports to the Executive committee and, at times, the Board of Directors;
- Preparing all invoices, reports, memos, letters, financial statements, and other documents in collaboration with the Vice-President, Finance & Administration; and,
- Any other duties as assigned. You may be required to perform the duties of other positions in situations of work or project priorities; this will be done in consultation with you and your acceptance.
Qualifications:
- Ability to work under pressure in a fast-paced work environment.
- Must be very organized with the ability to maintain deadlines.
- Experience in accounts receivable and accounts payable.
- Demonstrated mindfulness of privacy of personal information and the importance of maintaining discretion with confidential information;
- Experience with month-end reconciliation is considered an asset.
- Proficiency in the use of the Microsoft Office suite of applications, specifically Excel, with advanced skills in Excel spreadsheet development and design; familiarity with G-suite;
- Excellent interpersonal skills with the ability to work effectively in a team environment;
- Preferred experience or education in Human Resources;
