Job Overview: Administrative Assistant

Duties:

· Provide comprehensive administrative assistance to accountant and management, including scheduling meetings, managing calendars, and handling correspondence.

· Serve as a point of contact for clients and visitors, greeting them warmly. Discuss client needs and take appropriate action

· Answer phone calls, take messages, and handle email correspondence in a professional and timely manner.

· Perform general administrative tasks and other clerical duties as assigned. Assist in the preparation, filing, and retrieval of financial documents, reports, and client records. Ensure that all documents are maintained in accordance with company policies and confidentiality requirements.

· Ensure that confidentiality is maintained at all times

· Assist with weekly payroll processing

· Assist with monthly bookkeeping duties including support of government accounting requirements, reconciliations and other duties as assigned.

· Provide technical accounting support as needed

· Support tax-related activities, such as gathering necessary documentation and setting up client files and assisting with tax filings

Requirements:

· Knowledge of Sage or other accounting software

· General knowledge Bookkeeping and payroll

· Knowledge of Canadian taxation would be an asset

· Proven experience as an administrative assistant or in a similar role

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

· Strong organizational skills and attention to detail is paramount

· Excellent written and verbal communication skills

· Always maintain professionalism

· Familiarity with governmental accounting principles would be an asset

· Ability to perform tasks accurately

· Ability to work as a team or independently with minimal supervision

· Problem solving and critical thinking skills
