Position Description
This position is responsible for all aspects of cash receipts and cheque payments for the company. This includes data entry, posting receipts and payables batches, review of back up submitted by the regions, production of the cheques, preparation of back up for signatory, collection of appropriate signatures, and mailing of the cheques.
At all times in this process, the individual will ensure that corporate policies and control procedures are being met. This person must be highly organized and detailed. A good level of initiative is required in order to handle special requests, out of the ordinary occurrences and payee payment dates.
Key Responsibilities
- Review batches from invoice register dashboard created by tenant service coordinators from regional offices, ensuring that approved purchase order or signed invoice/cheque requisition are attached, and proper authorization for payment has been obtained
- Entry of NWI, Canada corporate, and HMCI invoices into the accounting system
- Process employee expense reimbursements
- Prepare cheques for payment, in keeping with corporate payment policy
- Collect signatures in a timely basis from appropriate personnel
- Verify vendor information and respond to vendor enquiries
- Process voids and stop payments
- Create tenant charge back entry and posting of tenant receipts on a timely basis
- Maintain and perform monthly electronic fund transfer (EFT) for all tenants set up on EFT
- Validation of fraudulent cheques weekly
- Maintain and perform credit card payment and EFT for internalized parking lot.
- Other special projects as required
Knowledge, Skills and Experience Required
- 1-3 Years of related experience
- Enrolment at an entry level in the CPA program
- Knowledge of Yardi a plus.
- Proficient with MS office (Excel, Word).
- Strong communication and interpersonal skills.
