Job Title: Administrative Assistant
Job Type: Full-Time
Hours: 40 Hours Per Week (Monday to Friday 9:00 a.m. to 5:00 p.m.)
Location: In-Person Every Day at 300 John Street Suite 328, Thornhill, ON, L3T 5W4
Salary: $20 Per Hour

As mortgage brokers, we have outstanding abilities to underwrite, place and fund any type of mortgage providing it makes sense either based on equity or cash flow. As a CYR Funding client, this means that when other companies say no to lending, we look to find a way to say yes. We are also experts in commercial, industrial and investment mortgage placement. CYR Funding has arranged loans from as little as $10,000 up to $160,000,000.
RESPONSIBILITIES
- Serve as a communication gatekeeper by answering phone calls, taking detailed messages, forwarding phone calls, greeting clients, responding to emails, and liaising with colleagues, clients, lenders, lawyers and co-brokers
- Perform general administrative tasks such as photocopying, scanning, emailing, faxing, printing documentation, collecting mail and arranging couriers
- Manage the office calendar, schedule meetings/teleconferences, inform all attendees of forthcoming meetings and inform all involved parties of any changes
- Manage a personal business email address as well as the email address for the office and principal broker
- Receive, review, save and forward supporting documentation from borrowers and co-brokers
- Create, update and maintain physical and electronic client files during the mortgage process
- Electronically store documentation to maintain a well-ordered filing system
- Delegate simple tasks to co-op students and review completed tasks to ensure accuracy
- Train and supervise co-op students and assist them when necessary
- Follow-up on action items in a timely manner
- Regularly follow-up on inquiries submitted by phone or email
- Assist mortgage agents/brokers with satisfying compliance requirements for a mortgage commitment, borrower’s disclosure, amortization, direction letter, consent form and additional mortgage funding documentation
- Obtain appraisal quotes and place appraisal orders
- Input new contacts’ information into the database and retrieve contact information upon request
- Make database updates for revised contact information and lending criteria
- Utilize the organization’s social media accounts to build social relationships on LinkedIn, Instagram, Twitter and Facebook
- Call and send promotional emails to clients and co-brokers as well as new connections for networking purposes
- Provide business and occasionally personal administrative support to the principal broker
- Track inventory and order office supplies to ensure essentials are well-stocked
- Ensure the workplace is clean and organized
- Perform additional clerical tasks as requested
REQUIREMENTS
- 1+ year of experience as an administrative assistant and/or receptionist is required, preferably at a mortgage brokerage or in the financial sector
- Post-secondary education in Business Administration or a related field is a strong asset
- Excellent written and verbal communication skills
- Superb typing and computer skills; experience with Customer Relationship Management (CRM) software
- Strong familiarity with Microsoft applications, in particular, Outlook, Word and Excel
- Highly detail-oriented with strong problem-solving abilities to produce accurate results
- Demonstrated time management abilities to manage various tasks in a fluid environment and meet deadlines
- Effortlessly manage several conflicting priorities and thrive in a quick-paced atmosphere
- Adaptive and flexible in response to shifting requirements
- A great memory and reliable note-taking skills
- Ability to execute tasks and duties autonomously with little oversight
- Proven ability for self-teaching with minimal to no assistance
- Ability to manage confidential information with extreme discretion
- Proven ability for establishing and fostering professional relationships with a polite demeanour
- Depict initiative and skilled at proactively resolving issues
- A positive attitude and willingness to take on additional tasks
- Experience with the following computer applications is considered a strong asset: Dropbox, Zoom, DocuSign, Purview, Equifax, Filogix, and Constant Contact
