Rockwood Service is currently recruiting for the position of accounts receivable and billing administrator to be responsible for invoicing for a variety of client groups in Non-destructive Testing clients. This position is based in Calgary, AB and will work under the general direction of the Regional Finance Manager. With a background in high volume billing and costing experience for invoicing, the successful applicant will be accustomed to working in a fast-paced environment managing large amounts data. The incumbent will be able to demonstrate strong excel skills, pay attention to detail and can provide excellent customer service skills.
Responsibilities
- Compilation of all information needed for invoicing such as client signatures, work order #s, PO #s.
- Completing progress billings for operational review and submission of reviewed billings to clients as per PO; including reconciliation back to internal systems.
- Close out and opening of POs with the client; cost tracking by PO.
- Contractual reporting, such as daily costing, force reports, safety stats, etc.
- Understanding and obtaining any contractual approvals required prior to commencement of work, i.e., overtime pre-approvals, work order acceptance forms.
- Daily/weekly review of all data entry to ensure accuracy and completeness for payroll and billing.
- Understanding of all contractual billing requirements.
- Coordination and tracking of project billable expenses.
- Additional tasks as requested by operations.
Requirements
- The candidates we seek will have at least 3 - 5 years of experience invoicing, payroll time entry, and accounts payable.
- Secondary education in Business or Office Administration Certificate/Diploma/Degree is considered an asset.
- Proficiency in MS Word/Excel/PowerPoint/Outlook with strong working knowledge of various accounting systems.
- Previous experience successfully working within a high-volume environment.
- Strong attention to detail
- Ability to effectively build relationships with internal and external stakeholders.
- Demonstrate excellent oral and written communication skills. Superior English competency is required; French competency is considered an asset.
- Able to work independently with minimal supervision.
