Timiskaming Home Support is a district-wide agency that provides services to the elderly and people with physical disabilities, enabling them to remain at home. Timiskaming Home Support services an area from Sesekinika in the North to Temagami in the South, from Gowganda in the West to the Quebec border in the East.

Mission
To provide services that support the well-being of the elderly and adults with physical disabilities in the District of Timiskaming to enable them to remain in their home.
The Administrative and Finance Assistant will play a crucial role in supporting the Finance & Operations Manager and the broader administrative functions of Timiskaming Home Support. This multifaceted position combines many responsibilities typically held by a bookkeeper, payroll assistant, administrative assistant, and finance assistant. The successful candidate will be detail-oriented, organized, and capable of managing various tasks to ensure smooth and efficient operations.
Key Responsibilities:
1. Bookkeeping and Financial Support:
o Maintain accurate financial records and ensure proper documentation of transactions.
o Process accounts payable and receivable, ensuring timely payments and collections.
o Assist in the preparation of monthly, quarterly, and annual financial reports.
o Reconcile bank statements and monitor cash flow.
o Support the Finance & Operations Manager with budgeting and forecasting activities.
2. Administrative Assistance:
o Provide general administrative support, including answering phones, managing emails, and scheduling appointments.
o Maintain organized and up-to-date filing systems, both physical and digital.
o Prepare and distribute internal and external communications, including meeting minutes and reports.
o Assist in coordinating meetings, events, and travel arrangements as needed.
3. Finance Assistance:
o Assist in the preparation and processing of payroll.
o Support the integration of financial systems and software, such as Sage Intacct and ADP.
o Help manage vendor and client relationships, ensuring accurate and timely invoicing and payments.
o Provide support during audits and ensure compliance with financial policies and regulations.
4. Technology and Systems Support:
o Utilize and maintain various software systems, including Sage Intacct, AlayaCare, and ADP.
o Assist in the implementation of new technology solutions to streamline administrative and financial processes.
Qualifications:
- A diploma or degree in accounting, finance, payroll, business administration, or a related field.
- Minimum of 2-3 years of experience in bookkeeping, payroll, administrative support, or a similar role.
- Proficiency in accounting software (e.g., Sage Intacct) and Microsoft Office Suite (Excel, Word, Outlook).
- Strong organizational and multitasking skills with attention to detail.
- Ability to communicate effectively in English; French is considered an asset.
- Excellent interpersonal skills.
- Valid driver’s license and access to a reliable vehicle.
- Ability to work independently and as part of a team in a fast-paced environment.
- Familiarity with non-profit organizations and their financial management is a plus.
Working Conditions:
- This is a full-time position based at the Haileybury Timiskaming Home Support office.
- Hours of work Monday to Friday 8:30 – 4:30, with occasional evening or weekend work to meet deadlines or attend events.
- Occasional travel may be required for meetings or training.
