Overview
We are seeking a detail-oriented and organized Payroll Administrator to join our team. The ideal candidate will be responsible for managing payroll processes, ensuring accuracy in employee compensation, and maintaining compliance with relevant regulations. This role requires strong analytical skills and proficiency in various accounting software systems to streamline payroll operations effectively.
Responsibilities
- Accurately and timely processing of employee wages, ensuring compliance with all applicable regulations and providing payroll information to employees, management, and government agencies.
- Reconciliation of employee hours from the Time and Attendance System with the Payroll System (ADP WorkForceNow).
- Timely transmission of payroll data to the Payroll System service, ensuring prompt payment of wages through direct deposit or pay cheques.
- Communication with the Finance Department regarding the total payroll cost for wire transfer of funds to the payroll account.
- Reviewing the Payroll Register received from the Payroll System service.
- Preparation of weekly analysis and graphs of payroll costs for management, as well as reports for the Human Resources Department upon request.
- Allocation of weekly payroll costs for the Accounting Department.
- Updating of the Employee Master File, Time Clock System, and HRIS (Workday) to ensure accurate employee records.
- Gathering data for yearly deferred profit sharing payment, updating RRSP accounts, and processing vacation pay for eligible employees.
- Completion of employee referral letters, Record of Employment, and assistance with other documentation as requested. Reviewing external requests for employee information.
- Monitoring and processing of garnishees.
- Annual analysis of all taxes paid, W.C.B., and Employers' Health Tax.
- Assisting employees with payroll and benefit concerns in a caring and respectful manner.
- Ensuring employees and managers have a clear understanding of benefit policies, procedures, and practices. Timely communication of changes in benefit coverage.
- Processing of additions, deletions, and changes in the benefit system and ensuring necessary payroll adjustments are made promptly. Preparation and submission of insurance premium reports to accounting.
- Processing of employee benefit claims, including computer system or mail-in claims. Distributing correct benefit cheques to employees in a timely manner. Monthly follow-up on extra insurance non-payments.
- Updating the competitive wages and benefits survey annually and maintaining current records
Skills
- Secondary School Diploma, or equivalent, Post-Secondary Degree/Diploma, preferred; with excellent aptitude for figures
- Minimum 3 years payroll experience
- Proficiency in software including Workday, PeopleSoft, ADP WorkForceNow, is highly desirable.
- Excellent data entry skills with a focus on accuracy and attention to detail.
- Ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
- Strong analytical skills to identify discrepancies and resolve issues promptly.
- Effective communication skills for interacting with employees at all levels of the organization.
- Previous experience as a payroll clerk or in a similar role is preferred but not mandatory.

Pay: $57,267.00-$80,000.00 per year
