Administrator, Data Processing
(6 Month Contract)
United Way Greater Toronto is looking for an experienced and strategic Administrator, Data Processing, to join our team at our Toronto office.
Reporting to the Manager, Data Processing, the Administrator, Data processing is responsible for coordinating UWGT’s data processing activities to ensure high-quality data and a best-in-class experience for all donors, volunteers and corporate partners.
What you’ll do:
- Coordinate the accounting and recording of incoming gift and payment data across UWGT’s multi-platform environment (@work, external vendors, third party platforms, etc.) and outgoing payments to charity partners.
- Coordinate the donation collection processes and activities and communicate effectively to ensure that outstanding pledges are followed upon diligently through verbal and written communication.
- Coordinate the Mass Apply process relating to incoming payroll deduction remittance information. Verify the integrity of the data files and ensure that the payments are processed accurately and in a timely manner.
- Develop and maintain key relationships with various constituents and stakeholders including donors, participating organizations’ payroll administrators, other United Ways, charities and other UW departments/staff teams. Coordinate processes and adhere to protocols including those relating to Centrally Coordinated Campaigns.
- Liaise with Donor Relations team and participating organization representatives to resolve batch exception transactions relating to duplicate constituent records, Automatic Pledge Rollover (APR) updates, Mass Apply processing, designation payouts and moving accounts from Cheque payments to Electronic Funds Transfer payments.
- Monitor quality assurance metrics of the unapplied payment process and provide feedback to the team. Coordinate and track incoming payments and the processing and submission of payments to be applied in the CRM system.
- Provide monthly and year-end management reports and analysis showing accounts statuses, unapplied payment balances and pledge loss reconciliation, trends other relevant financial information, as requested.
- Provide support to Accounts Receivable/Finance team in the participation of activities relating to processes/efficiencies enhancement recommendations. Assist with quarterly and out of cycle designation payouts, month-end, year-end and other reconciliation activities/processes.
- Provide support to Manager in delivering information and reports requirements in accordance with Service Level Agreements and other agreements with participating organizations.
- Provide support to and collaborate with Donor Relations, Finance, IT, donor organizations and donors relating to designation payouts, gift adjustments and edits. Prepare/review and process financial adjustments, refunds and pledge write-off transactions to the CRM system.
- Respond to external & internal customer enquiries and liaise with Donor Relations regularly regarding account status and other pertinent information.
- Maintain donor confidentiality in all activities at UWGT and ensure compliance with privacy legislation.
What you’ll need to be successful:
- More than 1 year and up to and including 3 years of related experience in Data File Management Finance/Accounting Procedures and Methodology
- Excellent ability in managing high volumes of data
- Excellent teamwork, interpersonal and constituent service skills including the ability to work respectfully and inclusively with a diverse group of constituents
- Excellent attention to detail and proven track record of accuracy
- Proven organizational, analytical and communication skills (written and verbal)
- Proven ability to take initiative and carry projects to completion with minimum supervision
- Excellent judgment and discretion in handling confidential and sensitive information
- Ability to work independently, set priorities and meet deadlines
- Ability to keep up to date with changing technology and a willingness to learn
- Advanced proficiency in Microsoft Excel and Word
- Willingness to actively contribute to the organizational equity framework through participation in learning opportunities and implementing anti-oppressive and anti-racist learnings into action internally and externally
