We are currently looking for a Property Administrator who can support our growing portfolio of residential and commercial properties in Pembroke and Surrounding area.
Responsibilities may include:
- Answers tenant calls in a timely manner regarding general inquires and maintenance
- Documents all inquiries and schedules appropriate super or contractor to resolve maintenance or general issues requiring site presence. Updates maintenance software
- Makes real-time maintenance decisions
- Follows up with tenants upon resolving issues and ensures satisfaction
- Tracks the performance of supers and ensures the completion of work orders
- Administers and monitors service contracts and ensures work completion.
- Provides administrative support including preparation of letters and memos
- Adheres to all the residential and commercial leasing laws
- Maintains relationships with prospective and current residents.
- Reports all property concerns or deficiencies to Head Office from leasing site visits
- Oversees collection status on monthly basis
- Provide CFO/CEO with bi-weekly updated rent roll, other accounts receivable reporting
- Reviews and submits completed work orders for weekly billing.
- Oversees rent increase process
- Reviews notices to vacate and updates availability list, ensures procedures are followed
- Updates the new market rent according to leasing activity.
- Conducts and reports on Tenant Move-Out and Move-In inspections
- Updates and maintains parking plans and availability and takes action to fill all parking spots in Ottawa.
- Places ads in various publications, including company website and marketing websites such a Kijiji
- Answers all lease related phone calls/Emails and collects information from prospective tenants
- Schedules and conducts showings in a timely manner for residential and commercial units.
- Processes rental applications. This includes performing credit bureau, previous landlords and employment history checks.
The Ideal candidate will have a minimum of 2 years of customer service experience to excel in this role.
Experience in Property Management & working with Yardi would be an asset.

A minimum of 1-2 years of experience working in Property Management
Understanding of tenant leases and contracts
Ability to coordinate and liaise with tenants and subcontractors

Pay: $17.50-$18.50 per hour
