Job Summary:
The Office Administrator will be responsible for coordinating office activities, scheduling, dispatching employees, and serving as a key point of contact between the company, clients, and staff. The ideal candidate will possess excellent time management, communication, and organizational skills. A background in construction or property management is highly preferred.
Key Responsibilities:
- Handle daily office operations including answering phones, responding to emails, and assisting with client inquiries.
- Schedule and dispatch field staff to various job sites in a timely and efficient manner.
- Manage and coordinate multiple calendars for staff, ensuring appointments and deadlines are met.
- Oversee the coordination of resources across landscaping, contracting, and property management services.
- Maintain organized office files and records, including customer information and work orders.
- Communicate with clients regarding work progress, updates, and service follow-ups.
- Provide administrative support to management and employees across different business lines.
- Assist with invoicing, payroll, and other administrative tasks as required.
- Collaborate with vendors, subcontractors, and clients as needed to ensure smooth workflow.
- Perform any other duties as assigned to help drive business success.
Qualifications:
- Proven experience in an administrative or office management role, ideally within the landscaping, contracting, or property management sectors.
- Experience with scheduling and dispatching is essential.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent verbal and written communication skills, able to interact with both clients and employees professionally.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant office software.
- Ability to work effectively across different departments and business lines.
- Positive attitude, problem-solving mindset, and strong interpersonal skills.
- Knowledge of the construction and/or property management industry is a strong asset.
Preferred Qualifications:
- Familiarity with working in a multi-business-line company.
