inMusic is hiring an experienced Senior Accounting Clerk for our Canadian office. Reporting into the Supply Chain Manager and under the direction of the Chief Financial Officer, this role is responsible for entering, maintaining, and reporting financial and customer transactions into our internal database(s). The Senior Accounting Clerk will reconcile invoices, handle financial instruments and documents including cheques received from customers, and ensure that bank deposits are made in a timely fashion. Please be aware that this is a temporary position with an expected duration until November 2025.
Essential Duties:
- Maintain the accounts receivable subsidiary ledger
- Receive all customer payments for deposit, including processing credit card payments
- Communicate with customers to answer questions, verify customer discrepancies, and resolve customer billing issues
- Administer the company's credit policies with our customers and ensure that past due invoices are kept to a minimum
- Credit approve any order prior to it being forwarded to the warehouse to be processed and shipped
- Record cash receipts in the Excel file
- Assist with reconciling accounts receivable to ensure that all payments are accounted for and adequately posted and identify any discrepancies
- Issue invoices and distribute them electronically or by mail to our customers
- Process credits and invoices in the company ERP system (SAGE) as well as Vendor central and TrueCommerce/Foundry as appropriate
- Generate the accounts receivable aging report in its designated Excel file format and send to corporate headquarters on a monthly basis; participate in a thorough review of the status of all customer accounts
- Perform weekly backups of company's ERP system (SAGE) to ensure data preservation and send the file to the company's outside accountants on a regular basis; resolve any issues that the outside accountants raise
- Liaison with external auditors for any matters they need to attend to
Requirements
- Associate's degree preferred, High School diploma or equivalent required
- Expertise with Microsoft Office and Excel required
- Experience with automated billing software and ERP software preferred
- Full Professional Proficiency in the English and French languages
- A proven team player with moral integrity, adaptability, and dependability
- Mathematical, analytical, and independent thinking
- Methodic organizational skills and initiative to perform at a high level
- Strong attention to detail, excellent customer service skills, and the ability to efficiently resolve problems
