We are seeking a highly organized and detail-oriented individual to assist in managing office operations, support administrative tasks, and handle bookkeeping responsibilities. This role requires strong multitasking abilities, excellent communication skills, and proficiency in the accounting software Intuit Quickbooks.
Key Responsibilities:
Office Administration:
- Manage day-to-day office operations, ensuring a smooth and efficient workflow.
- Handle correspondence, including emails, phone calls, and mail.
- Organize and maintain office files, both electronic and physical.
- Oversee office supply inventory, order supplies as needed, and ensure the office environment is well-maintained.
- Assist with the planning and execution of company events and meetings.
- Maintain office policies and procedures, updating as necessary.
- Provide general administrative support to the team and management.
Bookkeeping:
- Record financial transactions and maintain accurate financial records using the accounting software Quickbooks online
- Prepare and process invoices, expense reports, and payroll.
- Reconcile bank statements and ensure all financial discrepancies are addressed.
- Manage accounts payable and receivable, ensuring timely payments and collections.
- Assist in the preparation of financial statements and reports.
- Monitor and track budgets, assisting with budget preparation.
- Ensure compliance with financial policies, procedures, and regulations.
- Assist with tax preparation and audits as needed.
Other responsibilities:
- Being a start up business with a small team, we will occasionally need help filling in on our production line and in the warehouse with packaging, organization and clean up. In this role, you must be able to work on your feet in a dynamic environment and be comfortable occasionally assisting with manual labour.

- Greeting visitors at the front door and assisting with pickups and receiving deliveries
Qualifications:
- Proven experience as an Office Administrator, Bookkeeper, or similar role.
- Proficiency in the accounting software Quickbooks online and MS Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- High level of accuracy and attention to detail.
- Ability to work independently and as part of a team.
- Knowledge of basic accounting principles and procedures.
- Familiarity with office management procedures and basic HR principles is a plus.
- Minimum of 1 year of experience in administrative and bookkeeping roles.
- Associate or Bachelor’s degree in Accounting, Business Administration, or related field preferred.

Hours: Negotiable, but full time hours are preferred. Monday-Friday, regular business hours
Expected start date: ASAP
Salary: $25-28/hour
