French Ministry of Education, Alberta Education, and CAIS accredited French bilingual school of about 450 students total, is seeking a part-time Accounting Assistant starting as soon as possible.
Founded in 1966, Lycée international de Calgary (formerly Lycée Louis Pasteur) is a non-denominational independent French international school providing a challenging and stimulating bilingual education within a multicultural and multidisciplinary environment. We are Calgary’s premier French School, the only pre-K to Grade 12 school in Western Canada, both accredited by the French Ministry of Education and Alberta Education. JOB SUMMARY
Reporting to the Accounting Manager, the Accounting Assistant (Part-Time) is responsible for the Accounts Receivables function of the Lycée, maintaining inventory as well as reconciliations and reporting. This position is offered on a 28 hours per week basis.
RESPONSIBILITIES
The Accounting Assistant is responsible for managing invoicing, collections, tuition reconciliation, maintaining inventory as well as answering inquiries from parents / clients of the Lycée. The Accounting Assistant is also responsible for assisting the Accounting Manager in other accounting duties as required.
JOB DUTIES
The duties of the Accounting Assistant include, but are not limited to:
Accounts Receivable
- Organizing and safeguarding all payments to the Lycée;
- Preparing bank deposits;
- Preparing, recording and sending invoices;
- Reconciling customer accounts;
- Collections and related reporting;
- Sending quarterly statements;
- Sending payment schedules to financial aid and AEFE bursary recipients;
- Recording invoices into the accounting system (Adagio - Accounts Receivable);
- Recording cash transactions into the accounting system;
- Preparing monthly tuition and deferred revenue reconciliations;
- Preparing monthly reconciliation with the Student Services System (Thriva);
- Following up on payments for clubs, camps and hot lunch, rent, tuition;
- Maintaining filing and system records;
- Answering client inquiries (invoices, receipts, general questions related to customer accounts, etc.);
- Preparing and distributing tax receipts (donation, child care);
Other Duties
- Assist with month end, quarter end processes;
- Preparing year-end reconciliations and audit working papers as needed for external auditors, and as requested by the Accounting Manager and/or Director of Finance and Administration;
- Maintaining rental revenue reconciliation;
- Maintain inventory records and assist with inventory counts;
- Maintaining the bond master file;
- Issuing promissory notes for enrolment bonds;
- Initiating bond refunds;
- Providing support with external compliance reporting as required;
- Maintaining records for Capital Assets, Lease to Own including acquisitions and disposals;
- Assisting other Departments with various accounting tasks;
- Performing any other accounting duties requested by the Accounting Manager, the Director of Finance and Administration and/or the Head of School.
QUALIFICATIONS
- Accounting Diploma or Bachelor of Business Administration, or in the final stages of a degree in Accounting required
- Experience in a similar role of 2+ years
- Experience in a Not-for-Profit environment is beneficial
- Proficiency in French and familiarity with the French culture are desirable but not required
- Excellent analytical and critical thinking skills
- Exceptional organizational and multitasking skills
- Accuracy and strong attention to detail
- Result-oriented and driven problem solver
- Fast learner and team player with strong ability to work independently as well as in a team environment
- Strong interpersonal and communication skills and the ability to build relationships and establish rapport with various stakeholders
- Proficiency with MS office, Google Suite, Adagio (or other comparable accounting software)

- First Aid training
- Canadian Citizen, Permanent Resident, or Valid Work Permit holder without restrictions.
This position occasionally requires physical labour such as squatting, lifting, and moving objects in order to prepare Admissions-related events onsite.
