Who are we looking for:
We are seeking a highly motivated, detail-oriented, and collaborative Accounts Payable Administrator.
The Accounts Payable Administrator is responsible for the accurate and timely processing of all accounts payable. The ideal candidate will have a knowledge/ understanding of full cycle accounting principles (GAAP), the ability to prioritize tasks & meet monthly reporting deadlines and be able to effectively communicate with all stakeholders.
What will you do?
- Management and Distribution of ‘Accounts Payable Mailbox’
- Accounts Payable Analysis for all O.N. Site Eastern Projects o Responsible for all AP related items on Eastern Projects, including but not limited to the below:
- Receiving, analyzing/coding, and verifying vendor payables against Commitments and Accounts Receivables including daily data entry from various provinces including calculations of statutory holdback requirements
- Work closely with Project Managers, Project Co-ordinators, and Sub-trades/ Suppliers to reconcile AP discrepancies in a timely and accurate manner
- Conduct cashflow analysis comparing AP and AR
- Proactive analyze project status mid-month
- Manage Holdbacks Payables, including updating the Substantial Performance Tracker
- Address and resolve disputed AP invoices and vendor payment inquiries accurately and promptly
- Assist in Project Closeout by working with PM’s, PC’s and Sub-trades to reconcile and close all commitments
- Reconcile Home Depot invoices monthly and maintain weekly and annual filing of all paid invoices
What do you need to succeed?
- A degree or diploma in Business Administration or Accounting, preferred
- 3 to 5 yearsof Accounts Payable experience in the construction industry
- Excellent interpersonal skills and effective communication skills; written and verbal
- Strong organization skills, and time management skills
- Ability to multitask and complete tasks effectively, prioritize tasks
- Develop and maintain positive relationships within all levels of the company
- Strong problem-solving skills and analytical skills
- Must be proficient in all computer skills, MS Office Suite (Excel, Word, Outlook etc.)
- Experience using Jonas Construction Management software is an asset
