Job Summary
We are a large law firm with offices in Kitchener and Listowel. We are seeking a highly skilled and experienced Director of Finance and Operations. The ideal candidate will possess a strong background in finance, human resources, IT management, and vendor management, with a proven track record in bank reconciliation, and financial analysis. This leadership role requires an individual who can effectively manage financial services while ensuring compliance with regulatory standards and fostering a culture of financial integrity within the organization.
Responsibilities:
Finance Related
- Oversee all financial operations
- Preparation of annual budgets
- Preparation of monthly financial statements
- Meeting with Finance Committee and Partnership monthly to discuss finances and financial position
- Managing cash flow – dealing with partner distributions and dividends
- Working with external accountants on year end financial package
- Responsible for multiple bank reconciliations monthly
- HST remittances
- Reviewing and managing A/R
- Provide leadership and mentorship to the finance team EHT annual return filing
- Compensation management
Practice Related
- Preparation of annual Law Society of Ontario report
- Ensuring insurance is in place – including general, excess and law firm specific
- Compliance with Law Society of Ontario
HR Related
- Leading and managing Office Manager and all admin staff (35-45 people)
- Completing annual reviews for admin staff
- Onboarding and offboarding of admin staff
- Discipline and coaching of admin staff
- Handling grievances/employee complaints
- Creating, changing and modifying polices and procedures
- Benefit administration
- Vendor management
- Projects management
Premises Related
- Lease negotiations in conjunction with Managing Partner
- Approving any maintenance/upkeep in both office locations
- Managing day-to-day issues relating to office space
IT Related
- Managing and maintaining contracts with IT
- Ensuring cyber security insurance is in place
- Approving expenditures relating to hardware/software/IT support
- Managing phone systems
- Administering lawyer cell phone plan
Requirements:
- At least 4 years experience in a similar role
- Bachelor’s degree in Finance, Accounting, or a related field
- Extensive experience in financial management, HR, IT support and vendor relations
- Experience in a Law Firm
- Proficient in budgeting, account reconciliation, and financial reporting
- Excellent analytical skills with the ability to interpret complex financial data
- Exceptional leadership abilities with experience managing teams effectively
- Strong communication skills, both written and verbal
- Ability to work collaboratively across departments to achieve organizational objectives
- Available after hours to deal with issues, as needed
Compensation and Benefits:
- $90,000 - $130,000, commensurate with experience
