Overview
We are seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing exceptional customer service, and supporting various administrative tasks. This position is essential for maintaining an efficient workflow and fostering a positive environment for both staff and clients.

Duties

Manage student enrollment and registration processes.
Assist students with inquiries about enrollment procedures, course schedules, and fees.
Answer incoming phone calls in a friendly, professional, and efficient manner.
Coordinate communication between instructors, students, and other staff members.
Assist in ensuring the school's compliance with local and provincial regulations related to training and education.
Schedule and confirm appointments and meetings with clients and liaison business partners
Assist instructors in maintaining training resources and materials.
Order office and maintain office supplies such as printers supply/service, papers, FAX, and other office desks
supplies
Assist with client invoices and orders processing
Collect data and prepare periodic and special reports, manuals, and correspondence
Greet clients, vendors and other visitors visiting office, direct visitors to appropriate colleague. Represent
business with excellent client services
Record and prepare minutes of meetings during client meetings and internal business process discussions.
May need to prepare business presentation for potential clients to assist sales team to pitch new sales

Experience

Previous experience in a medical office or as a dental receptionist is preferred but not mandatory.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Excellent customer service skills, demonstrating patience and professionalism in all interactions.
Familiarity with phone systems and proficiency in handling various communication tools.
Experience with QuickBooks or similar accounting software is a plus.
Proven ability to proofread documents with attention to detail, ensuring high-quality outputs.

Job Type: Full-time

Pay: $28.40 per hour

Expected hours: 35 – 40 per week
