Responsibilities:

Lead all accounting and business administration activities
Perform administrative tasks, such as data entry, scanning, entering and preparing invoices, maintaining accounting ledgers, sending bill reminders, collections, filing paperwork, and contacting clients to discuss their accounts
Maintain precise records of all AR and AP records and transactions
Maintain vendor records, including new vendor set ups and any vendor change requests
Set-up new customer, vendor and sub-contractors
Perform timely and accurate data entry regarding, but not limited to accounts payable, payroll, accounts receivable and purchase orders
Perform day to day financial transactions, including verifying, classifying, posting and recording AP and AR data
Review, investigate and reconcile discrepancies or irregularities in invoices, incoming or outgoing payments, accounts, billing, etc.
Perform monthly reconciliations and audits for receipts, AR and AP ledgers, invoices, vendor accounts, payments, system reports, and other transactions
Set up new hires and terminations in payroll
Manage set-up and terminations of benefit program
Process expense reports on a regular basis
Accurately review, code, and process vendor invoices
Audit and process credit card bills
Process outgoing payments in compliance with financial policies and procedures
Charge expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries
Processing, verifying, and posting receipts for goods sold or services rendered
Lead the process of verifying and maintaining inventory
Liaison with clients, contractors, sub-contractors, consultants, suppliers and design professionals
Work with the leadership team to improve operational management systems including work order, and purchase order issuing, inventory management
The list of responsibilities is not exhaustive and at times the successful candidate will be asked to provide dispatch or other operational support

Qualifications:

5+ years of experience bookkeeping
Experience in a bookkeeping software - preferable Sage (Simply Accounting)
Articulate communicator
Focused, high level of attention to detail
Competent in Microsoft Word, Excel, Outlook, Teams
Experience in the construction industry (electrical, refrigeration, plumbing) preferred, but not required
Experience in Jobber is an asset but not required
All applicants are required to have an Open Work Permit, Permanent Resident or Citizen
Experience with safety programs an asset, but not required
