Overview
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will be responsible for providing comprehensive administrative support, ensuring smooth operations within the office environment. This role requires strong organizational skills, proficiency in various software applications, and a commitment to maintaining high standards of accuracy and professionalism.
Responsibilities
- Bookkeeping – Light accounting tasks and data entry
- Document preparation: Writing, typing, editing, and proofreading letters, invoices, presentations, signage and more
- Communication: Ability to answer phone calls in a friendly and welcoming manner. Frequent distribution of communications including emails, webforms, etc
- Filing: Setting up and maintaining paper and electronic filing systems
- Office supplies: Ordering and maintaining office supplies
- Guest assistance: Assisting in greeting visitors and directing them to the appropriate person/department
- Policy updates: Updating administrative policies and procedures manuals
- Facility issues: Solving and tracking issues with office equipment, facilities, and assets
- Maintaining Customer area: Ensuring visitor areas are kept clean and that they adhere to Alberni Auto Group standards
Qualifications
- Proven experience in an administrative or clerical role is preferred.
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Proficiency in Microsoft Office applications (Excel,Word,Outlook) is essential.
- Familiarity with QuickBooks is a plus but not mandatory.
- Excellent proofreading skills with a keen eye for detail.
- Strong interpersonal skills with the ability to communicate effectively both verbally and in writing.
- Ability to work independently as well as part of a team in a fast-paced environment.
- A proactive attitude towards problem-solving and improving office practices is highly valued.
