We are currently in search of a highly motivated and experienced Office Administrative Assistant to join our team in a full-time capacity at DHC Communications Inc.
The successful candidate for the role of Office Administrative Assistant should possess qualities of professionalism, politeness, attentiveness, and accuracy. They should exhibit readiness and responsiveness, embracing every challenge with determination. Administrative assistants should feel at ease with computer operations, general office tasks, and excel in both verbal and written communication. Above all, they should possess a sincere desire to meet the needs of others.
Responsibilities:
- Execute necessary administrative and secretarial tasks required for daily operations, including scanning, digital filing, and more.
- Manage incoming telephone calls, screen and refer them to the appropriate staff, provide general information to callers, and respond to inquiries efficiently.
- Maintain a range of paper and digital files and records.
- Data entry of financial transactions in accordance with established procedures.
- Keep track of office supplies and stationery inventory.
- Utilize computer skills to generate reports, transcribe meeting minutes, create presentations, and conduct research.
- Welcome and direct visitors.
- Maintain courteous and professional communication through phone, email, and mail.
- Anticipate the needs of others to ensure a seamless and positive experience for all.
Qualifications:
- Completion of Grade 12.
- Recent experience in providing administrative support.
- Proficiency in using Microsoft 365.
- Typing speed of at least 50 words per minute.
- Exceptional attention to detail and the ability to handle concurrent tasks accurately.
- Strong written and verbal communication skills.
- A commitment to delivering excellent customer service.
- Regular and punctual attendance is essential for this position.
- A proactive attitude with a focus on creating positive experiences for others.
- Having experience in bookkeeping is advantageous.
- Experience with QuickBooks is a valuable asset.
