Duties and Responsibilities
We are seeking a proactive and detail-oriented Office Administrator to oversee the daily operations of our office, focusing on human resources, administrative duties, and financial management. This role requires a strong multitasker who can efficiently manage various responsibilities, ensuring the smooth and efficient running of the organization.
· Manage the recruitment process, including creating job postings, assessing CVs, and conducting interviews.
· Support onboarding and offboarding processes for new and existing employees.
· Provide guidance on HR-related topics such as benefits, compensation, and conflict resolution, ensuring issues are resolved promptly.
· Lead the organization of team events, off-sites, and other activities.
· Maintain employee training records and ensure compliance with document submission requirements for grant-supported positions.
· Oversee the full payroll process, including maintaining time records, processing wage changes, and preparing year-end payroll forms.
· Create and manage invoices and estimates using QuickBooks, handle credit card transactions, and organize vendor invoices for accurate and timely payment.
· Implement and maintain accounting practices, process financial transactions, and update ledgers.
· Audit accounts receivable and payable, track expenses, and maintain a vendor database.
· Input and manage employee receipts for reimbursement.
Qualifications:
· Degree or diploma in business administration or a related field
· Proven experience as an Office Administrator, HR Coordinator, or in a similar role.
· Strong understanding of HR functions, payroll processing, and bookkeeping.
· Proficiency in QuickBooks, accounting software, and Microsoft Office Suite
· Excellent organizational, communication, and interpersonal skills.
· Ability to manage multiple tasks efficiently and maintain confidentiality.
· High attention to detail and problem-solving capabilities.
Job Types: Full-time, Permanent
Pay: $18.00-$22.00 per hour
